About the position

The Business Office Representative Clerk at Texas Health Total Joint Center plays a crucial role in supporting the facility's operations by performing various business office functions. This part-time position is designed for individuals who are organized and possess strong communication skills, as they will be responsible for handling medical records, credentialing, admissions/intake, accounts payable, billing, collections, insurance verification, transaction posting, and maintaining clinical logs. The representative will also be involved in scheduling surgeries, managing calls from physician offices, and ensuring that all necessary paperwork is completed accurately and efficiently. In this role, the representative will be expected to answer phone calls in a pleasant manner, addressing the needs of both physician offices and patients promptly. They will take messages and transfer calls to other departments as necessary, ensuring smooth communication within the facility. The representative will also perform pre-registration tasks, ensuring that authorization is obtained from the physician's office prior to any scheduled surgeries. Maintaining a clean and orderly surgery scheduling area is essential, as is the verification of all scheduled cases as soon as possible. The representative will also be responsible for contacting patients with financial responsibilities, informing them of the center's payment policies, and offering payment options when necessary. All insurance verifications and patient calls must be clearly documented in the patient's account to maintain accurate records. This position requires a proactive approach to managing tasks and a commitment to providing excellent service to both patients and healthcare providers.

Responsibilities

  • Provide support to the facility by performing specific or various business office functions as assigned.
  • Handle medical records, credentialing, admissions/intake, accounts payable, billing, collections, and insurance verification.
  • Schedule surgeries in the surgery template and manage calls from physician's offices regarding patient scheduling.
  • Answer phone calls in a pleasant manner and address physician offices and patient needs expeditiously.
  • Perform pre-registration and ensure authorization is obtained from the physician's office prior to surgery.
  • Complete necessary paperwork for registration and generate information for surgical/special procedures using the computer system.
  • Maintain logs for cancelled appointments and perform various clerical duties such as photocopying, mailing surveys, and preparing patient charts.
  • Maintain a clean and orderly surgery scheduling area and verify all scheduled cases as soon as possible.
  • Contact patients with financial responsibilities to inform them of payment policies and options.
  • Document all insurance verifications and patient calls clearly in the patient's account.

Requirements

  • High school diploma or equivalent required; Associate degree or equivalent preferred.
  • Minimum three years of experience in healthcare and at least one year of experience in surgery scheduling procedures preferred.
  • Ability to work independently as well as function within a team.
  • Basic knowledge of surgery scheduling, receptionist, and registration responsibilities.
  • Ability to handle stress and be flexible with hours.

Nice-to-haves

  • Preferred experience in Orthopedic Medical Records and Chart Organization.
