About the position

The Business Operations Coordinator at Billy Heroman's Flowerland is responsible for providing multi-level support to one of the owners of the company. This role involves a variety of tasks that may change with the seasons, including assisting in areas such as Retail, Outside Sales, Floral, and Marketing. The coordinator will manage office systems, maintain schedules, arrange meetings, and provide general administrative support while ensuring effective communication with customers and vendors.

Responsibilities

  • Devising and maintaining office systems, including data management and filing.
  • Maintaining a daily calendar and acting as a gatekeeper for the owner's time.
  • Arranging meetings, travel, and accommodations.
  • Screening phone calls, inquiries, and requests, handling them when appropriate.
  • Conducting background research and presenting findings.
  • Drafting and producing documents.
  • Organizing and attending meetings, ensuring the owner is well prepared.
  • Communicating with customers, vendors, and team members to address questions or concerns.
  • Shopping and comparing costs of goods and communicating with vendors.
  • Providing general administrative support and running personal errands as needed.
  • Serving as back-up to retail sales and phone sales, providing quality customer service.
  • Assisting with business development opportunities and attending client meetings as needed.
  • Preparing presentations and proposals.
  • Reviewing calendar deadlines and providing timely reminders.
  • Filing, organizing, scanning, copying, and emailing/faxing documents.
  • Developing and maintaining organized digital and live records systems.
  • Assisting in preparation and execution of holiday decorating and special events.
  • Driving safely with no incidents and maintaining a clean work area.
  • Demonstrating overall safety awareness and following proper procedures.
  • Reporting all incidents, injuries, and near misses.

Requirements

  • Must be 21 years of age or older for insurance purposes.
  • High school diploma or equivalent.
  • Knowledge of plant care requirements or related experience (preferred).
  • Able to read a map and GPS.
  • Knowledge of city streets in service areas.
  • Must have a clean, valid driver's license in good standing.
  • Must be able to pass a pre-employment drug screen.
  • Able to make decisions and communicate professionally and effectively.
