About the position

Astound Broadband, the sixth-largest telecommunications provider in the United States, is seeking a Business Operations Coordinator to join our National Sales team. This remote position can be based near any of our main west coast markets, including the Bay Area and Sacramento, CA; Portland and Woodburn, OR; Greater Seattle and Bothell, WA. The Business Operations Coordinator will play a crucial role in supporting the sales operations by managing billing inquiries, project management, and vendor management. The ideal candidate will have a strong background in telecommunications and customer management, with a focus on improving workflow continuity and communication across departments. In this role, you will be responsible for managing customer billing inquiries and disputes, ensuring timely responses and maintaining contact until resolution. You will also track customer disputes using personalized spreadsheets and perform statement audits to proactively resolve issues. Your project management skills will be essential in handling past due accounts, updating billing details, and performing monthly account audits to identify billing errors. Additionally, you will assist with vendor management, including invoice reviews and onboarding processes. The work schedule for this position is Monday to Friday, from 7 am to 4 pm PST, and it is a full-time remote position. Responsibilities

  • Manage customer billing inquiries and disputes, ensuring timely responses and maintaining contact until resolution.
  • Track customer disputes using personalized spreadsheets and proactively build customer relationships to resolve issues before they escalate.
  • Perform statement audits and participate in monthly VIP billing meetings to proactively resolve issues.
  • Resolve customer issues impacting their past due accounts and update billing details and invoice submittal preferences.
  • Perform monthly account audits to identify billing errors and opportunities for account consolidation and balance reconciliation.
  • Assist with vendor management, including invoice review and billing adjustments as needed, and ensure invoice requirements are met.

Requirements

  • 1 - 3 years accounting experience in the telecommunications industry with experience in customer management.
  • Knowledge of Billing and CRM platforms required; ICOMS and Sugar CRM preferred.
  • Intermediate proficiency in Google and/or Microsoft software including Excel, PowerPoint, and Word.
  • Strong organizational, project management, and process improvement skills.
  • Strong communication skills to effectively communicate at all levels within an organization.
  • Professional business acumen in reporting and database use.
  • Ability to learn and retain new information quickly, including operational understanding of telecommunications ordering/provisioning and billing/accounting processes.

Nice-to-haves

  • Experience with project management principles in a telecommunications context.
  • Familiarity with customer relationship management best practices.
