About the position

The Business Operations Coordinator at Via Separations, Inc. plays a crucial role in supporting and improving the company's day-to-day operational processes. This position involves working closely with the operations team, including the Chief of Staff, Financial Controller, and Community & Culture Manager, to enhance efficiency and drive continuous improvement. The role is ideal for a proactive individual who is eager to grow alongside the organization and contribute to its mission of eliminating CO2 emissions from industrial manufacturing processes.

Responsibilities

  • Support day-to-day and month's close financial activities, including billing, expense reporting, grant management, and time tracking.
  • Manage office and facilities duties, including supplies ordering, deliveries, visitor management, and lab maintenance coordination.
  • Ensure compliance with recurring insurance, reporting, taxes, and other registration requirements.
  • Manage the relationship with Via's external IT vendor.
  • Produce and maintain business operations reference documents, SOPs, and other collateral.
  • Support scheduling and calendar management for the leadership team as time permits.
  • Perform special projects and other related duties as needed.

Requirements

  • Bachelor's degree or equivalent experience in business operations, office management, or a similar role.
  • Demonstrated experience managing operational processes.
  • Ability to work onsite at the Watertown location, Monday-Friday.
  • Strategic thinker with a willingness to implement solutions.
  • Ability to execute effectively with limited guidance and in ambiguous situations.
  • Extremely versatile and agile, with a bias towards action.
