About the position

The Business Operations Coordinator at the University of Colorado Anschutz Medical Campus is responsible for providing comprehensive administrative and operational support to the Colorado Center for Personalized Medicine (CCPM). This full-time role involves managing office operations, supporting business administration tasks, and coordinating meetings and events. The position requires a proactive approach to problem-solving and excellent communication skills, with a focus on enhancing operational efficiency and supporting the leadership team.

Responsibilities

  • Oversee central office supply inventory tracking and ordering, maintaining organized supply inventory systems.
  • Serve as the primary contact for the Center's administrative offices.
  • Maintain master space assignment list and seating chart, auditing quarterly for accuracy.
  • Coordinate all incoming and outgoing mail and deliveries.
  • Oversee all CCPM office space management, including reservation schedules and liaising with facilities.
  • Provide administrative support to CCPM Executive Committee members, including meeting coordination and expense report preparation.
  • Handle small dollar purchasing and reconcile procurement card charges in Concur.
  • Identify and implement business process improvements, leading projects as assigned.
  • Support CCPM special programs by creating agendas and overseeing membership applications.
  • Maintain accurate tracking systems and proactively communicate updates to relevant parties.
  • Provide backup support to marketing and communications duties.
  • Assist with Human Resources tasks, including interview coordination and travel arrangements.
  • Provide routine meeting support, including reservations, catering, and AV needs.
  • Plan and coordinate all aspects of CCPM special events.

Requirements

  • Bachelor's degree in business, business administration, finance, accounting, or a related field.
  • At least one year of professional-level clerical or administrative service experience.
  • Proficiency in Microsoft Office suite, including Outlook, Word, Excel, and Teams.

Nice-to-haves

  • Experience with University of Colorado finance systems (i.e. Concur, Marketplace).
  • Experience using cloud-based applications such as Microsoft OneDrive and Smartsheets.
  • Experience with website maintenance and event planning.
  • Experience with business process improvements and standard operating procedures.
