About the position

The Business Operations Coordinator at the American Red Cross plays a crucial role in supporting the Massachusetts Region by managing financial transactions, vendor relationships, and facilities management. This position involves budget monitoring, administrative reporting, and volunteer coordination, ensuring that operations align with the organization's mission to help those in need. The coordinator will also provide training and guidance to volunteers, manage facility documentation, and oversee various operational functions to enhance efficiency and effectiveness.

Responsibilities

  • Perform budget monitoring and expenditure review for regional programs.
  • Collaborate with department leaders to ensure programs are executed within budget.
  • Prepare and analyze expense data for department directors.
  • Respond to internal/external requests for expense information and documentation.
  • Approve and ensure repairs are completed within budget using eMax for facility management.
  • Perform monthly uploads of facility documentation from Facility Management.
  • Provide direction and training to volunteers for administrative transactions.
  • Evaluate volunteer performance and plan work schedules.
  • Train staff on insurance certificate applications and financial collection processes.
  • Maintain fleet inventory records and manage insurance claims.

Requirements

  • High School diploma or equivalent required; Associate's degree in Accounting, Business or Public Administration preferred.
  • Minimum 3 years of financial or facilities administrative support experience in community organizations, government agencies, or non-profit organizations.
  • Ability to work on a team and prioritize tasks effectively.
  • Excellent organizational skills and attention to detail.
  • Strong interpersonal skills for maintaining collaborative relationships.
  • Proficient in MS Office software, including Word, Excel, PowerPoint, and Outlook.
