About the position

The Business Operations Coordinator at Western Reserve Area Agency on Aging plays a crucial role in ensuring the efficient operation of the Business Operations Department. This position involves managing billing reconciliations, quality assurance processes, and the development of Standard Operating Procedures (SOPs). The coordinator will also assist in policy development and oversee project management efforts, contributing to the organization's mission of providing quality services to the aging population.

Responsibilities

  • Perform accurate billing reconciliations for the Business Operations Department Programs, identifying and resolving discrepancies.
  • Collaborate with finance and accounting teams to ensure accurate financial reporting and budgeting.
  • Conduct routine quality assurance reviews to ensure compliance with internal standards, contractual requirements, and regulations.
  • Develop and implement quality assurance protocols and best practices.
  • Develop, maintain, and update Standard Operating Procedures (SOPs) to support efficient business operations.
  • Lead staff training on new and updated SOPs to ensure consistent execution across teams.
  • Assist in the creation, review, and enforcement of company policies and procedures to ensure industry and legal compliance.
  • Oversee project management tasks, ensuring timely completion of projects related to department goals, policy implementation, and quality initiatives.
  • Manage the director's calendar, schedule meetings, and arrange travel logistics.
  • Prepare and distribute correspondence, memos, reports, and other documentation.

Requirements

  • Bachelor's degree preferred.
  • Minimum of 3-5 years of experience in billing reconciliation, quality assurance, policy development, administrative support, and project management.
  • Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficiency in accounting software, Microsoft Office Suite (particularly Excel), and calendaring tools.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Knowledge of industry regulations and compliance standards preferred.
  • Certification in Quality Assurance, Project Management, or a related field is a plus.
