About the position

The Administrative Associate 2, also known as the Business Operations Coordinator, plays a crucial role in supporting the Office of Sustainability at Stanford University. This part-time position focuses on enhancing campus sustainability through effective financial management, event coordination, and administrative support. The coordinator will work closely with a diverse team to ensure compliance with university policies while promoting sustainable practices across various initiatives.

Responsibilities

  • Oversee compliance with university financial procedures and policies, including preparing online purchase requisitions and check requests.
  • Track and process invoices and recurring bills in a timely manner, ensuring payments are made on time.
  • Manage all team university credit card transactions and assist with purchase inventory.
  • Support team and partner meetings, including coordination of calendars, event spaces, catering, and AV needs.
  • Assist with sustainable event planning and report on sustainability metrics for events.
  • Coordinate interviews for new staff and students, managing onboarding tasks for new employees.
  • Oversee team IT renewals and manage team vehicles, including maintenance and reservations.

Requirements

  • High school diploma and three years of administrative experience, or a combination of education and relevant experience.
  • Experience in providing high-level independent administrative support and coordinating complex activities.
  • Proven skills in processing financial transactions related to purchasing, expense reimbursements, and travel.
  • Experience in event planning and coordination, particularly in reducing waste.
  • Strong computer skills, including proficiency with Microsoft Suite, Google Suite, and web-based applications.

Nice-to-haves

  • Familiarity with Stanford specific programs (Oracle Financials, OBIEE, and eAM).
  • Understanding of general business practices such as budgets and procurement processes.
  • Experience in higher education facilities management and organizational structures.
