The Business Operations Manager at Tallahassee Community College plays a crucial role within the Business Office, directly reporting to the Director of Financial Services. This position is responsible for overseeing the operations of the Business Office, which includes the maintenance of general and subsidiary ledgers related to accounts payable and student accounts, as well as the refinement of database software used in these processes. The Operations Manager will also provide training across the campus regarding business office processes, ensuring that all staff and faculty are well-informed and capable of executing their responsibilities effectively. In this role, the Business Operations Manager will supervise the Accounts Payable staff, which involves evaluating and planning workflow, setting deadlines, establishing work objectives, managing time utilization, and solving problems as they arise. The staff under this supervision will handle various financial tasks, including supplier payments, employee reimbursements, procurement card transactions, escheating, unclaimed property, and conducting related transaction research. Additionally, the manager will oversee accounting staff responsible for student accounts, which includes managing sponsor contracts, bookstore invoices, and monitoring payments for returned checks and emergency short-term loans to students on a monthly basis. The Operations Manager will also coordinate training sessions for Business Office processes for all college staff and faculty, ensuring that everyone is equipped with the necessary knowledge to perform their duties. Furthermore, the manager will assist in the testing, maintenance, and refinement of information systems software and office procedures, contributing to the overall efficiency of the Business Office. Another key responsibility includes assisting with the completion of the College's periodic financial statements, which involves entering journal entries for financial statement presentation and developing necessary year-end accruals for accounts payable. The manager will also monitor to ensure that all payments are accurately recorded, maintaining the integrity of the financial records.
