About the position

The Business Operations Specialist 2 at Youngstown State University plays a crucial role in managing administrative tasks related to academic operations, particularly in the area of course registration and scheduling. This position requires a high level of autonomy and decision-making, as the specialist will handle non-routine administrative tasks, provide support to departmental leadership, and ensure compliance with academic policies and procedures. The role involves coordinating class schedules, maintaining course inventories, and assisting students with registration processes, all while ensuring accuracy and efficiency in operations.

Responsibilities

  • Autonomously performs non-routine administrative tasks related to exceptional registration issues, including formulating decisions and judgments involving non-legal interpretation of policies and procedures.
  • Recommends and makes proposals to departmental leadership; assists in analyzing business functions related to the schedule of classes, course inventory, and processing curriculum changes.
  • Coordinates activities involving the schedule of classes, including class changes and cancelled course offerings, and works with colleagues on room scheduling software.
  • Explains and monitors processes to academic department staff regarding policies and procedures, and reviews course listings for accuracy.
  • Trains end users in Banner self-service and Internet Native Banner on processes such as permit overrides and course cancellations.
  • Verifies enrollment status and prepares official University letters of response for outside agencies.
  • Researches, analyzes, and provides solutions to registration-related issues that extend into the Office of Student Accounts and Financial Aid.
  • Handles sensitive telephone calls and visitors, providing appropriate referrals and assistance to students with course registration and withdrawal.

Requirements

  • At least an associate degree in business administration, management science, public administration, or a related field; or a high school diploma or GED and three years of experience in the secretarial and/or administrative professional field.
  • Extensive knowledge of administrative policies and procedures, and/or clerical functions and office and/or program policies and procedures.
  • Knowledge of Microsoft Office programs and database capabilities; supervisory principles and/or techniques; budgeting procedures; public relations; office management; and records management.

Nice-to-haves

  • Bachelor's degree in business administration, management science, public administration, or related field.
  • One or more years of experience in an administrative assistant/academic operations specialist role in an academic setting.
  • Experience in the use of student information systems (preferably Banner), registration systems, budgeting, and website maintenance.
