About the position

The Business Operations Specialist 2 at Youngstown State University plays a crucial role in managing administrative tasks related to registration and records within the Student Affairs division. This position requires a high level of autonomy and expertise in administrative policies and procedures, enabling the incumbent to handle complex registration issues, coordinate class schedules, and assist in curriculum management. The specialist will also provide support to students and staff, ensuring compliance with university policies and enhancing operational efficiency.

Responsibilities

  • Perform non-routine administrative tasks related to exceptional registration issues, including formulating decisions and judgments regarding academic and administrative policies.
  • Recommend and propose improvements to departmental leadership regarding registration operations and procedures.
  • Coordinate activities involving the schedule of classes, including class changes and room scheduling.
  • Assist in the production and maintenance of the academic catalog and course inventory in Banner.
  • Verify enrollment status and prepare official university responses for outside agencies regarding scholarships and loans.
  • Research and analyze registration-related issues, providing solutions and counseling on FERPA regulations and policies.
  • Ensure operational issues are identified, tracked, reported, and resolved in a timely manner.
  • Coordinate fiscal activities and support functions related to registration processing for special interest groups.
  • Monitor and update the university's website with relevant departmental information and forms.

Requirements

  • Associate degree in business administration, management science, public administration, or a related field; or a high school diploma/GED with three years of relevant experience.
  • Extensive knowledge of administrative policies and procedures, clerical functions, and office management.
  • Proficiency in Microsoft Office programs and database capabilities.
  • Ability to operate personal computers and office equipment effectively.

Nice-to-haves

  • Bachelor's degree in business administration, management science, public administration, or a related field.
  • Experience in an administrative assistant/academic operations specialist role in an academic setting.
  • Familiarity with student information systems, preferably Banner, and registration systems.
