About the position

The Business Operations Specialist position within the Regulation & Licensing Department is a vital role that serves as the first point of contact for the public when they reach out to the Department. This position is designed to provide triage for prioritizing the appropriate channels for constituents to conduct their business and to offer specialized technical support services. The incumbent will be responsible for a variety of duties that encompass human resources, fiscal management, information systems, investigations, procurement, and other essential business operations functions. In this role, the incumbent will interact directly with constituents, providing them with information about the seven divisions of the Regulations and Licensing Division (RLD) and the 35 industries, professions, and trades regulated by the department. This includes researching constituent concerns and returning calls with the necessary information. The ability to deescalate frustrated callers and address their questions and comments with professionalism and compassion is crucial. The incumbent will also be responsible for answering phone calls with a pleasant demeanor and will need to conduct research beyond internal business information, transferring callers to the appropriate office as needed. Additionally, the position requires the incumbent to provide high-quality support services to upper-level management and constituent support to the Governor's Office and elected officials. This necessitates a strong working knowledge of Microsoft Office software, particularly Outlook, Word, and Excel, as well as any specialized software that may be relevant. The incumbent will assist the Office of the Superintendent's team, including the Executive Assistant, and may work on special projects that involve researching requests, procuring office supplies and equipment, organizing and archiving files, and completing other assignments as required.

Responsibilities

  • Serve as the primary point of contact for constituents contacting the Regulations and Licensing Division (RLD).
  • Provide information regarding RLD's seven divisions and the 35 regulated industries, professions, and trades.
  • Research constituent concerns and return calls with the required information.
  • Deescalate frustrated callers' questions and comments professionally and compassionately.

Requirements

  • High School diploma or equivalent.
  • Two years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management, and/or contract management.
  • Minimum of 2 years experience in Microsoft Excel, Outlook, and Word.
  • Strong prioritization skills.
  • Experience interacting with customers professionally both in person and over the phone.
  • Ability to communicate effectively in writing, in person, and over the phone.
  • Strong time-management and organizational skills.
  • Critical thinking skills.
  • Experience looking for ways to help people.
