About the position

The Business Operations Specialist Senior at ASU's Hugh Downs School of Human Communication is responsible for a wide range of fiscal and human resource activities, ensuring compliance with established policies. This role requires a self-starter who can manage multiple tasks autonomously while maintaining confidentiality and exercising sound judgment. The position involves significant interaction with staff, faculty, and external parties, necessitating excellent communication skills and knowledge of university policies.

Responsibilities

  • Process business-related reimbursements, purchases, and payments using the University's financial systems.
  • Coordinate, review, and manage new vendors, independent contractors, and speaker contracts.
  • Prepare budget proposals and establish a budget control system for expenditures.
  • Monitor and maintain revenues and expenditures in accordance with budget allocations; prepare financial reports.
  • Oversee ASU Foundation account transactions and generate necessary documents and reports.
  • Manage account and PCard reconciliations and audits, and reconcile detailed budgets monthly.
  • Support the school's annual scholarship process, coordinating applications and disbursements.
  • Manage travel arrangements for faculty, staff, and students, including expense reports and reservations.
  • Stay current with ASU financial and HR policies and procedures.
  • Assist the Assistant Director, Operations with special projects requiring problem-solving and research.
  • Collaborate with internal units to coordinate school operations and respond to administrative inquiries.
  • Serve as backup Departmental Time Administrator to ensure accurate time entry and approvals.
  • Represent the school on various committees and assist with event logistics.

Requirements

  • Bachelor's degree in a relevant field and five years of related experience, or nine years of related experience, or an equivalent combination of education and experience.
  • Experience performing financial and human resource functions in a higher education setting, preferably at ASU.
  • Knowledge of ASU financial and administrative systems, including Workday and Concur.
  • Experience with purchasing cards and monitoring expenditures.
  • Proficiency in Microsoft Office Suite, especially advanced Excel skills.

Nice-to-haves

  • Experience with ASU Foundation accounts and document processing.
  • Knowledge of financial controls and purchasing best practices.
  • Familiarity with ASU travel policies and procedures.

Benefits

  • Salary range of $60,000 - $66,000 per year, DOE.
  • Flexible work options available after onboarding period with appropriate approvals.
