About the position

The Business Services Coordinator I position is a temporary role within the Office of State Human Resources, specifically in the Temporary Solutions division. The primary purpose of this role is to ensure the accurate processing of Financial Status Reports (FSR), invoices, direct payments, and cash advances in compliance with state and departmental regulations. The position offers flexibility in remote work but requires occasional travel to the Raleigh office for equipment pickup and training.

Responsibilities

  • Enter Invoices and FSRs daily in FSR log from emails received in FSR inbox.
  • Verify contract information on FSR template for accuracy and completeness.
  • Ensure that FSR month is correct.
  • Check that all required signatures are present on FSRs.
  • Confirm that the vendor is not on the Suspension List.
  • Verify in NCFS that funds requested to pay FSR are still available on the Purchase Order.
  • Analyze discrepancies between payments, funding, and remaining PO balances.
  • Collaborate with DHHS Controller's Office, Office of Procurement, Contracts and Grants (OPCG), Budget Office, contracts team, and program staff to resolve FSR issues.
  • Update Invoice/FSR log for FSRs sent to DHHS Controller's Office for payments and payments processed in NCFS.

Requirements

  • High school or General Educational Development (GED) diploma and four years of related administrative experience; or an equivalent combination of education and experience.
  • General accounting and business knowledge.
  • Ability to compose general documents, spreadsheets, and correspondence.
  • Experience in compiling financial data in a spreadsheet.
