About the position

The Business Support Specialist serves as an administrative professional at the National Renewable Energy Laboratory (NREL), specifically supporting the Wind Energy Systems and Wind Energy Science groups. This role involves providing comprehensive administrative support to engineers and scientists engaged in wind energy research, ensuring efficient operations within a dynamic and fast-paced environment. The position requires excellent communication, organizational, and interpersonal skills, along with a strong customer service orientation.

Responsibilities

  • Assist with aspects of employee hiring and onboarding, including entering job requisitions in Workday and scheduling interviews.
  • Support the processing of work orders, move forms, and visitor approvals.
  • Assist the Business Support team lead and other members as needed.
  • Plan and schedule meetings and events using Microsoft Outlook, including logistics for on-site and off-site meetings and webinars.
  • Interface with outside entities, including subcontractors and vendors, as needed.
  • Work with various online administrative tools.
  • Coordinate travel arrangements, including submitting requests and processing expense reports in Concur.
  • Handle purchase orders, requisitions, and invoice processing.
  • Compose and edit letters, documents, and presentations.
  • Generate internal and external correspondence and assist with publication preparation.
  • Act as a resource for staff on institutional processes and provide recommendations on administrative practices.
  • Coordinate calendars, schedules, and meeting logistics.
  • Provide coverage at the reception desk for short periods.

Requirements

  • High School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience.
  • Solid knowledge of the job with a substantial understanding of general and detailed aspects.
  • Intermediate skills in applicable software packages and office equipment.
  • Basic project administration skills.
  • Ability to prioritize work effectively.
  • Proficient in written and verbal communications.
  • Very good team and interpersonal skills.

Nice-to-haves

  • Prior administrative experience with Microsoft SharePoint, Microsoft Office, and Teams.
  • Experience with webinars and long-distance collaboration software.
  • Experience handling sensitive and proprietary information.
  • Experience managing projects from inception to closure.
