About the position

The C-Suite Executive Assistant (New York) provides the highest level of executive support and serves as a contact for the most senior executive roles within Accenture. This individual works directly with the Executive's Chief of Staff and administrative team to support the executive at the most effective and efficient level. The role requires managing a high volume of requests and demands while coordinating schedules and logistics. The Executive Assistant will manage and maintain complex calendars, coordinate appointments, meetings, and conference calls for executives, and handle extensive rescheduling as necessary. In addition to calendar management, the Executive Assistant will create, own, manage, and maintain spreadsheets to track actionable items, pending requests, and reminders, collaborating with the administrative team for resolution. The role also involves content delivery, which includes printing and organizing information for meetings, maintaining detailed tracking and lists, and providing onsite support as needed. The Executive Assistant will represent the executive and act as a liaison between the executive and their management, peers, or organization, with the responsibility of action within pre-agreed limits. The individual in this role will develop relationships with the executive's clients and other top executives within the company, handling confidential information relevant to the business strategy. Anticipating travel needs and coordinating complex travel arrangements is also a key responsibility, as is reviewing and sorting paper-based and electronic mail to identify actions required. The Executive Assistant may also assist with personal business as needed and is expected to work nights, holidays, and weekends on short notice to accommodate the executive's schedule. This position requires on-site work weekly and may involve infrequent travel. The ideal candidate will have a minimum of 5 years of C-Suite level administrative or executive support experience, with a strong emphasis on organization, multi-tasking, and communication skills.

Responsibilities

  • Member of the executive's administrative team, coordinating schedule and logistics while managing a high volume of requests and demands.
  • Manage and maintain complex calendars and coordinate appointments, meetings, conference calls, etc. for executives, including extensive rescheduling.
  • Create, own, manage and maintain spreadsheets to address the executive's actionable items, pending requests, reminders, etc.
  • Content Delivery - printing, organizing information for meetings; maintaining detailed tracking and lists.
  • Provide onsite support, as needed.
  • Work with team members to coordinate local office logistics and catering requests in preparation for on-site meetings.
  • Represent the executive and act as a liaison between executive(s) and their management, peers or organization, with responsibility of action within pre-agreed limits.
  • Act as interface between client and executive(s) teams.
  • Develop relationships with executives' clients, other top executives within the company, and their EA's.
  • Handle confidential information relevant to the strategy of the business, the executive, etc.
  • Anticipate travel needs of executive and coordinate complex travel arrangements, typically involving multiple changes and destinations.
  • Review and sort paper-based and electronic mail, identifying action required and taking action where appropriate.
  • Handle a variety of special requests at the request of the executive and/or administrative team.
  • May assist with personal business as needed and when appropriate.

Requirements

  • Minimum of 5 years of C-Suite level administrative or executive support experience.
  • Experience in Global Travel management - including visas and passports.
  • High degree of solid judgement and empathy.
  • Strong organization and multi-tasking skills—able to simultaneously manage and prioritize multiple projects in a fast-paced environment.
  • Ability to meet deadlines.
  • Strong communication skills.
  • Ability to be agile, with a flexible workstyle.
  • Intermediate MS Office skills, with advanced Outlook skills.
