About the position

The Department of Emergency Management is a unit within University Health, Safety, and Risk Management which reports to the Senior Vice President for Finance and Operations. In addition to the Department of Emergency Management, there are five functional groups within University Health and Safety; Biosafety and Occupational Health Department, Building Code Department, Health Emergency Response Office, Department of Radiation Safety, and Department of Environmental Health and Safety. The Emergency Management Intern will support the department's initiatives by assisting in planning, training, and response efforts. This role is designed to provide hands-on experience in emergency management while allowing for flexible hybrid or remote work arrangements. The intern will gain exposure to real-world emergency planning, risk assessment, and crisis communication strategies in a higher education environment. This position reports to the Emergency Preparedness and Response Manager.

Responsibilities

  • Assist in the maintenance emergency plans for the University system
  • Ensure that emergency management related plans align with current best practices and regulatory requirements
  • Manage emergency management-related documents: plans, guidelines, and policies
  • Identify gaps or areas for improvement in emergency plans
  • Assist with development and delivery of training and exercises for system campuses and other university facilities
  • Maintain appropriate training records for individuals involved in emergency management activities
  • Research and coordinate third party training activities that are appropriate for emergency management
  • Assist in the development of training programs for students, faculty, and staff
  • Help organize and facilitate training sessions, drills, or tabletop exercises
  • Gather feedback from participants to evaluate the effectiveness of training
  • Assist with grant development, submission, and tracking
  • Assist with organization and maintenance of facilities used by the Department of Emergency management including the designated EOC facilities
  • Develop and implement campaigns to raise public awareness about emergency procedures
  • Create visual materials, such as posters or infographics, for distribution across campus
  • Up to 10% travel within the State of Minnesota to visit University System Campuses
  • Other duties as assigned

Requirements

  • Currently pursuing or recently completed a degree in Emergency Management, Public Safety, Homeland Security, Public Administration, or a related field
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively in a virtual or hybrid environment
  • Proficiency in Google Suite, Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational skills and attention to detail
  • Interest in emergency management, crisis response, and public safety

Nice-to-haves

  • Experience working in a higher education environment; familiarity with University of Minnesota policies and procedures
  • Able to function effectively in stressful situations with strong decision-making and problem-solving skills
  • Experience managing and prioritizing multiple tasks and work both independently and as part of a team
  • Experience in emergency planning, response, or preparedness initiatives
  • Familiarity with emergency management frameworks such as FEMA's National Incident Management System (NIMS) and the Incident Command System (ICS)
