About the position

The Candidate Experience Specialist plays a crucial role in the Talent Acquisition team, supporting recruiters with scheduling, administration, and relationship management. This position involves interacting with candidates, senior leaders, and various stakeholders to enhance the candidate experience during the hiring process.

Responsibilities

  • Coordinate candidate interviews for hiring managers, recruiters, and interview panels, including scheduling and arranging video conferences and phone interviews.
  • Manage the candidate reception area, greeting candidates and hiring managers at their scheduled interview times.
  • Coordinate travel arrangements for candidates and process related expenses.
  • Communicate with candidates throughout the pre-employment process as required by recruiters.
  • Review employment applications and interface effectively with hiring managers and executive assistants.
  • Partner with recruiters and internal stakeholders to ensure a positive candidate interview experience.
  • Proactively recommend improvements to the candidate experience and recruiting process.
  • Record all activities in the applicant tracking system as they occur.
  • Create, send, and maintain offer letters and compliance documentation, including FINRA regulations.
  • Complete personnel data transfers in the applicant tracking system.
  • Manage background checks through vendors and follow up on outstanding items.
  • Launch onboarding tasks through the ATS and follow up as needed.
  • Lead guided campus tours for new hires, providing information and answering questions.
  • Facilitate onboarding information and logistics for new hires and hiring managers.
  • Assist in the setup and maintenance of files, records, and databases as required.
  • Ensure duties are performed effectively and efficiently in a timely manner.
  • Assist with team audits and HR special projects as assigned.

Requirements

  • High School diploma or GED.
  • 3+ years of Talent Acquisition coordination experience or 4+ years of administrative experience managing calendars.
  • 1+ years' experience with MS Outlook, Word, and Excel.

Nice-to-haves

  • Previous experience in Talent Acquisition.
  • Bachelor's degree.
  • Experience with Applicant Tracking Software (Workday preferred).
  • Experience with FINRA regulations related to the hiring process.
  • Ability to interface professionally with all levels of management and provide proactive solutions.
  • Problem-solving mindset.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Solid communication and organization skills.
  • Attention to detail and timeliness.
