The Capital Project Coordinator plays a crucial role in supporting capital projects through various administrative tasks. This position involves managing invoicing processes, facilitating approvals, and maintaining accurate records. The coordinator will be responsible for calendaring, memo creation, and entering, updating, researching, verifying, and retrieving data from various systems. Ensuring the accuracy and confidentiality of the information recorded is paramount. In addition to administrative duties, the coordinator will assist Project Managers by reading, researching, and routing correspondence. This includes drafting letters, documents, and other forms of communication, as well as collecting and analyzing information to initiate necessary communications. The role also involves supporting the preparation of status reports and other project-related presentations for Project Managers to share with organizational leadership, project teams, and client/customer groups. The coordinator will be tasked with researching and preparing confidential and sensitive documents, maintaining customer confidence, and protecting operations by keeping information confidential. The coordinator will assist in tracking and managing project timelines and gathering requirements, which includes obtaining quotes from vendors and subcontractors based on project scope, costs, resources, issues, changes, and risks. The ability to work independently and collaboratively on special nonrecurring and ongoing projects is essential. Regular attendance and punctuality are required to ensure the smooth operation of project activities.
