About the position

The Care Coordinator / Payroll Specialist at ComForCare Home Care of Wheaton is responsible for managing caregiver schedules and payroll processing within a home care environment. This role combines administrative duties with direct coordination of care services, ensuring that clients receive the necessary support while maintaining efficient payroll operations.

Responsibilities

  • Audit time card records and identify discrepancies.
  • Prepare time sheets for computer input.
  • Process payroll via ADP once supervisor has approved the data.
  • Respond to employee inquiries regarding payroll.
  • Complete all payroll-related reports.
  • Create invoices and mail to clients and other payer sources.
  • Select, schedule, and coordinate caregivers based on assessment and care plan information for new and existing clients.
  • Maintain appropriate gross profit margin for each case.
  • Be involved in general scheduling of caregivers and respond to scheduling conflicts, emergencies, and call-outs.
  • Ensure the company schedule is complete for the next business day/weekend before leaving for the day.
  • Track and record all instances of assignment refusals, call-outs, late arrivals, and early departures, and share information with the CM or OM regularly.
  • Accept on-call duty averaging two weeks per month as directed by the Office Manager or Caregiver Manager.
  • Communicate with the CM or OM to hire for the void regularly.
  • Assist in keeping caregiver files up to date, including tracking expiration of any licensing and insurance.
  • Collect new documents as directed and notify CM when new documents cannot be obtained.
  • Audit time-cards regularly to ensure hours match scheduled hours.

Requirements

  • Minimum of one year in a staffing/recruiting/administrative position.
  • Professional experience in the field of customer service.
  • Knowledge of general home care staffing requirements.
  • Excellent verbal and communication skills.
  • Ability to adapt in different situations and possess excellent client interaction skills.
  • Experience using telephones with multiple lines and maintaining professionalism in a fast-paced environment.
  • Excellent problem-solving abilities.
