About the position

The Care Coordinator at re+active physical therapy & wellness plays a crucial role in ensuring a welcoming and efficient environment for patients with neurologic disorders. This position is integral to the organization's mission of helping clients regain strength and confidence through personalized therapy and wellness programs. The Care Coordinator will manage patient interactions, scheduling, and administrative tasks to support the therapy team and enhance patient satisfaction.

Responsibilities

  • Welcomes patients and visitors by greeting them in person or on the telephone; answering or referring inquiries; returning voicemails.
  • Optimizes patients' satisfaction, therapist time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying therapists of patients' arrivals; reviewing service delivery compared to schedule; reminding providers of service delays.
  • Comforts patients by anticipating their anxieties; answering questions; maintaining the reception area.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; expediting orders for supplies; verifying receipt of supplies.
  • Obtains revenue by recording and updating financial information; recording and collecting patient payments.
  • Collects and accurately enters patient data in EMR system and logs.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Communicates with clients, managers, and coworkers in a timely and empathetic way.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Assists with insurance authorizations and benefit checks.
  • Participates in staff meetings and trainings.

Requirements

  • Strong desire to work in physical/occupational therapy setting
  • Customer service experience (1 year preferred)
  • Word processing skills
  • Bachelor's degree or Associate's degree
  • Knowledge of medical terminology
  • Time management skills
  • Ability to multi-task and be flexible
  • Strong organizational skills
  • Attention to detail
  • Professionalism and quality focus
