About the position

Core Group Resources is seeking a dedicated Case Manager (Paralegal) to join Ocean Ridge Litigation Support LLC. This position is pivotal in managing the lifecycle of legal cases, ensuring that all aspects of case management are handled efficiently and effectively. The Case Manager will be responsible for facilitating the intake process for new cases, ensuring that all necessary documentation and information are gathered promptly. This role requires a high level of organization and attention to detail, as the Case Manager will be tasked with maintaining up-to-date case files that are easily accessible to attorneys and experts involved in the cases. In addition to case management, the Case Manager will serve as a primary point of contact for clients, providing timely updates on case status and addressing any inquiries with professionalism and empathy. Strong client relationships are essential, and the Case Manager will need to demonstrate responsiveness and professionalism in all communications. The role also involves organizing both digital and physical case files, implementing efficient filing systems, and managing calendars and schedules for attorneys and experts to ensure that all meetings, court appearances, and deadlines are coordinated effectively. The Case Manager will provide administrative support to experts, assisting with scheduling, travel arrangements, and expense reports. Financial management is another critical aspect of this role, as the Case Manager will generate and process invoices, track case budgets, and follow up on overdue payments. Reporting on case status and financial performance will also be part of the responsibilities, requiring the preparation of comprehensive reports for management review. Moreover, the Case Manager will engage in research and case evaluation to identify viable cases that align with the services offered by ORLS. This includes monitoring legal databases for new opportunities and trends. As a brand ambassador for ORLS, the Case Manager will collaborate with marketing staff to enhance the company's online visibility and contribute to content development efforts, showcasing ORLS's expertise in relevant legal areas.

Responsibilities

  • Facilitate the intake process for new cases, ensuring all necessary documentation and information are gathered promptly.
  • Organize and maintain case files, ensuring all documentation is up-to-date and easily accessible.
  • Coordinate with attorneys and experts to ensure smooth case progression and adherence to deadlines.
  • Serve as a primary point of contact for clients, providing updates on case status and addressing inquiries promptly and professionally.
  • Maintain strong client relationships by demonstrating empathy, responsiveness, and professionalism in all communications.
  • Organize digital and physical case files, ensuring all documents are correctly labeled, stored securely, and easily retrievable.
  • Implement and maintain efficient filing systems to streamline access to information for team members and external stakeholders.
  • Manage calendars and schedules for attorneys and experts, coordinating meetings, court appearances, and deadlines effectively.
  • Assist experts with administrative tasks, including scheduling appointments, managing travel arrangements, and preparing expense reports.
  • Generate and process invoices accurately and promptly, ensuring all billable hours and expenses are accounted for.
  • Follow up on overdue invoices, coordinating with clients and internal stakeholders to resolve payment issues efficiently.
  • Track case budgets and expenses, providing regular updates to management and legal teams as needed.
  • Prepare comprehensive reports on case status, financial performance, and other relevant metrics for management review.
  • Conduct research and evaluate potential cases for viability and alignment with ORLS services and expertise.
  • Monitor legal databases such as PACER to identify new case opportunities and industry trends.
  • Act as a brand ambassador for ORLS, promoting its experts and services to potential clients and industry partners.
  • Collaborate with CGC Marketing staff and third-party SEO providers to enhance online visibility and brand reputation.
  • Contribute to blog entries and content creation efforts, showcasing ORLS's thought leadership and expertise in relevant legal areas.

Requirements

  • Prior experience with a plaintiff's law firm managing a substantial caseload of 100+ cases.
  • Demonstrated proficiency in case intake processes, including initial client consultations and documentation gathering.
  • Responsible for invoicing and diligent follow-up to ensure timely payments.
  • Experience in financial tracking and budget management related to legal cases.
  • Proven ability to communicate effectively with paralegals, attorneys, clients, and external experts.
  • Strong interpersonal skills and a customer-centric approach to client service.
  • Experience coordinating and managing expert witness engagements and contributions to legal cases.

Nice-to-haves

  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Experience with Adobe Pro for document management and editing.
  • Familiarity with NetSuite for financial management and reporting.
  • Competence in SharePoint for collaborative document sharing and team communication.
  • Knowledge of QuickBooks Online for invoicing and financial tracking.
