About the position

The Party Helpers is seeking a full-time Catering Event Coordinator in San Jose, CA, who will focus on managing social and corporate events, as well as weddings. The ideal candidate will be creative, customer-oriented, and capable of building strong relationships with clients and vendors. This role involves planning, executing, and overseeing events to ensure they meet client expectations and are delivered with high quality.

Responsibilities

  • Assist clients with selection of food and beverage, rentals, décor, and other elements to meet their vision.
  • Coordinate site visits for booked events and develop relationships with venue coordinators.
  • Facilitate menu tastings and marketing events as required.
  • Create and revise room layouts for events as needed.
  • Propose new ideas to improve the event planning and implementation process.
  • Provide clear and detailed event planning and execution instructions to management and service staff.
  • Manage on-site events as needed and close out all events as required.
  • Keep track of event finances including deposits, final payments, and invoicing.
  • Prepare and modify event contracts and proposals as needed.

Requirements

  • Excellent communication and interpersonal skills, including writing and proofreading.
  • Highly organized and detail-oriented with the ability to manage multiple events simultaneously.
  • Strong customer service ethic and high expectations for quality.
  • Demonstrates strong work ethics and productivity in challenging work environments.
  • Team-oriented and collaborative in achieving team goals.
  • Ability to thrive under pressure and maintain a positive disposition.
  • Bachelor's degree preferred or significant work experience in the event field as a substitute.
  • Minimum of 2 years of catering/sales experience with weddings.
  • Proficient in Microsoft Word, Excel, PowerPoint, Access, and mail merges; knowledge of social media.

Nice-to-haves

  • Experience with Total Party Planner and Aisle Planner software.
