About the position

The Catering Sales and Events Operations Assistant at SERVEGROUP plays a crucial role in supporting the Catering Sales Manager and Events Director in organizing and executing a variety of catered events. This position is ideal for individuals passionate about foodservice, hospitality, and event planning, as it involves both administrative tasks and hands-on event execution to ensure a seamless experience for clients.

Responsibilities

  • Assist in managing client inquiries, bookings, and follow-ups.
  • Prepare and send proposals, contracts, and event details to clients.
  • Maintain and update client databases and event calendars.
  • Schedule client meetings and site visits, coordinating logistics for each event.
  • Work hands-on at catering events including weddings, social, corporate, and galas.
  • Collaborate with the sales manager and event supervisor to ensure all event details are executed flawlessly.
  • Coordinate with kitchen and service staff to ensure proper menu execution and event setup.
  • Assist in managing event day operations, including setup, breakdown, and on-site client communication.
  • Ensure all equipment, décor, and materials are available and organized for events.
  • Demonstrate poise and professionalism with clients by providing impeccable customer service.
  • Attend events as the company's representative to address client needs and manage any last-minute changes.
  • Assist with filing, executing menu proposals, and daily updates on event orders.
  • Maintain accurate records of contracts, payments, and event documentation.
  • Assist in creating event timelines, floor plans, and rental orders.
  • Support post-event reconciliation and feedback collection.

Requirements

  • Bachelor's degree in Hospitality, Event Management, Business, or related field preferred.
  • 1-3 years of experience in catering, hospitality, or event planning roles.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work flexible hours, including evenings, weekends, and holidays as required.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
  • A passion for hospitality, foodservice, and creating memorable experiences for clients.
