About the position

The Catering and Events Manager at Oak View Group is responsible for selling and managing full-service catered events, ensuring exceptional service and flawless execution for clients. This role involves managing client relationships, overseeing event timelines, and coordinating with internal teams and vendors to deliver unforgettable experiences while meeting financial objectives.

Responsibilities

  • Manage inquiries relating to the sale and production of full-service Event Catering.
  • Understand and explain event packages while suggesting customizations based on client needs.
  • Prepare proposals, contracts, and client-facing materials, sending initial proposals within 24 hours.
  • Manage proposal iterations relating to client updates, custom pricing, and menu requests.
  • Develop an understanding of client needs and budgets to guide them to the best package options.
  • Oversee completion and sending of client invoices, deposits, and payments.
  • Recommend venues and other event vendors tailored to client needs.
  • Manage all third-party vendors including timeline, duties, and payments.
  • Create and manage rental equipment orders specific to client events and coordinate billing.
  • Ensure appropriate staffing levels for events, collaborating with staffing companies.
  • Arrange and manage client site visits and communicate updates to the team.
  • Manage and lead all client onsite and offsite tastings as required.
  • Communicate with clients regarding menus, event floorplans, timelines, staffing, and rental equipment requirements.
  • Manage internal team meetings and communications for event production and execution.
  • Oversee event execution including set-up and briefing captains.
  • Liaise between client and on-site team leaders to ensure event success.
  • Arrange thoughtful gifts during the planning process or as follow-up when appropriate.
  • Follow up to thank clients and collect feedback to share with the team.
  • Manage team debrief and internal wrap-up to-do lists.

Requirements

  • Minimum 3-5 years related experience in catering and event management.
  • Ability to self-manage and work autonomously.
  • Strong problem-solving skills and decision-making ability.
  • Strong understanding of diverse cuisine and beverage.
  • Ability to embody, teach, and inspire company values.
  • Excellent interpersonal and public speaking skills.
  • Working knowledge of project management software.
  • Experience with prospecting and cold call outreach.
