About the position

The Center Coordinator of Operations serves as the local administrator responsible for overseeing the daily operations of the center, managing facility needs, and coordinating major fundraising events. This part-time role requires a blend of administrative, operational, and teaching responsibilities, with a focus on maintaining a supportive environment for students and families.

Responsibilities

  • Open or close facility
  • Collect all attendance and enter into Jupiter Grades by 9:30am
  • Oversee cleaning and use of facility
  • Contact landlord regarding facility use or misuse
  • Contact corporate office for new supplies
  • Communicate ongoing changes regarding operations
  • Conduct all drills (fire, severe weather, lockdown, etc.)
  • Prepare beginning-of-the-year committee sign up sheet for orientation
  • Schedule all committee meetings at the beginning of the year
  • Attend all committee meetings
  • Maintain files including family contact information, student schedules, and tutor schedules
  • Create a Center Binder for chores and dismissal
  • Maintain Center hard files according to RCA norms
  • Update and maintain all student and faculty schedules based on the Master Classroom schedule
  • Organize and manage parent volunteers for each event committee
  • Purchase all needed supplies for events
  • Oversee events and maintain consistency with RCA policies
  • Administer assessment tests and ensure all fees are paid
  • Assist with setup for tours and events
  • Distribute books to tutors and oversee collection at year-end
  • Store and inventory any unused books during the year
  • Maintain the Center calendar and add all drills to the administrative calendar
  • Manage Center Petty Cash Account and send information to corporate office
  • Serve as committee chair for the Center main fundraiser
  • Oversee ticket sales, auction, raffle, and corporate sponsorship
  • Assist with supplies and setup during staff training
  • Print and organize documents for staff training
  • Oversee used book and uniform sale and end-of-year cleaning/work day
  • Assist with planning family picnic and purchase items needed for event activities
  • Join in on all applicable conference calls and attend summer coordinator training.

Requirements

  • Experience in administrative roles
  • Ability to manage multiple tasks and responsibilities
  • Strong communication skills
  • Experience in event planning and coordination
  • Familiarity with educational environments
  • Ability to work part-time hours, including some weekends and evenings as needed

Nice-to-haves

  • Experience in teaching or tutoring
  • Familiarity with fundraising activities
  • Knowledge of educational software like Jupiter Grades
