About the position

LMI seeks a CATMS Correspondence Manager/Editor to support our OUSD(A&S) customer in Arlington, VA. This role is crucial in managing the Correspondence and Task Management System (CATMS) for the ASD (A) API office, ensuring that all correspondence packages are complete and meet the Department of Defense standards. The successful candidate will coordinate with various stakeholders to facilitate the editing and processing of executive correspondence packages, which include congressional letters, decision memoranda, and responses to incoming mail. The position requires a proactive approach to managing correspondence, ensuring that all written products adhere to updated business rules and guidelines. In addition to managing correspondence, the CATMS Correspondence Manager/Editor will facilitate weekly calls with Front Office counterparts to discuss current issues and topics. The role involves coordinating with senior-level offices to assign, review, and route CATMS packages appropriately. The candidate will also be responsible for proofreading and editing documents, preparing them for signature, and ensuring proper routing through the staff. Briefing senior government officials on the status of organizational CATMS packages is also a key responsibility. The role includes administrative support tasks such as scheduling meetings, managing calendars, and coordinating travel logistics for government leads. The candidate will assist in developing and reconciling travel authorizations and vouchers, ensuring compliance with government travel policies. The ability to manage multiple assignments in a busy work environment is essential, as is the capacity to foster a cooperative work environment and maintain positive relationships with internal and external staff members.

Responsibilities

  • Manage CATMS for ASD (A), API office and coordinate with stakeholders to ensure completeness of correspondence packages.
  • Edit and process executive correspondence packages for senior leader signature, including congressional letters and reports, decision memoranda, and DoD policies.
  • Ensure written correspondence products meet Department of Defense standards and guidelines.
  • Utilize CATMS to respond to incoming taskers and forward packages for signature.
  • Facilitate weekly calls with Front Office counterparts to discuss current topics and issues.
  • Coordinate with senior level and lateral offices to assign, review, and route CATMS packages.
  • Check CATMS packages for formatting, proofread, and edit as necessary; prepare documents for signature and ensure proper routing.
  • Brief senior government officials on the status of organizational CATMS packages.
  • Attend and participate in meetings, take notes, record taskers and actions, and update staff as necessary.
  • Task and coordinate responses for FOIA, DoDIG, GAO, and other requests for government information.
  • Facilitate daily office operations including scheduling and coordinating meetings, calendar management, and general office logistics.
  • Assist government lead with travel coordination, logistics, and itineraries, including assembling trip folders and interfacing with travel-related personnel.
  • Monitor travel-related expenses and ensure compliance with government travel policies.
  • Update rosters, calendar invites, and address lists, and schedule new employee meet-and-greets with leadership.
  • Gather forms, assist with training, and provide information for network access accounts and equipment issuance.
  • Manage multiple assignments from various people in a busy work environment.

Requirements

  • Secret clearance with ability to upgrade to TS/SCI clearance required.
  • 5+ years of experience supporting senior DoD leadership.
  • Bachelor's degree preferred.
  • Excellent written, oral, and interpersonal communication skills.
  • Prior experience providing administrative support to senior DoD leadership.
  • Excellent organizational skills and ability to establish and maintain working relationships with internal and external staff members.
  • Flexibility and ability to prioritize tasks according to senior staff requirements.
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Point.
  • Ability to create and foster a cooperative work environment.
  • Self-directed, detail-oriented, and able to adapt to changing work efforts.
