About the position

LMI seeks a CATMS Correspondence Manager/Editor to support our OUSD(A&S) customer in Arlington, VA. This role is crucial in managing correspondence for the office of the Deputy Assistant Secretary of Defense (DASD) in the Program and Weapons Platform Management (P&WPM) division. The successful candidate will coordinate with various stakeholders to ensure the completeness of correspondence packages from inception to completion. This includes editing and processing executive correspondence packages for senior leader signatures, which encompass congressional letters, reports, decision memoranda, and responses to incoming mail. The role requires ensuring that all written correspondence products adhere to Department of Defense standards, guidelines, and updated business rules for written material. Utilizing the Correspondence and Task Management System (CATMS), the Correspondence Manager/Editor will respond to incoming taskers and forward packages for signature. The position also involves facilitating weekly calls with Front Office counterparts to discuss current hot topics and issues, as well as coordinating with subordinate offices to assign, review, and route CATMS packages to the appropriate points of contact for action. The candidate will be responsible for checking CATMS packages for formatting, proofreading, and editing as necessary, preparing documents for signature, and ensuring proper routing through the staff via both hard copy and CATMS. Additionally, the role includes briefing senior government officials on the status of organizational CATMS packages, attending and participating in meetings, taking meeting notes, recording taskers and actions, and updating the staff as necessary. The Correspondence Manager/Editor will also handle requests for government information, such as FOIA, DoDIG, and GAO requests, and will be responsible for updating rosters, calendar invites, and address lists. The candidate will assist with training, provide information related to network access account creation requests, ensure equipment issuance, and assist with workspace and laptop setup. This position requires managing multiple assignments from various individuals in a busy work environment.

Responsibilities

  • Manage Correspondence for the office of the DASD, Program and Weapons Platform Management (P&WPM).
  • Coordinate with all stakeholders to ensure completeness of correspondence packages from beginning to end.
  • Edit and process executive correspondence packages for senior leader signature, including congressional letters and reports, decision memoranda, DoD policies and directives, and responses to incoming mail.
  • Ensure written correspondence products meet Department of Defense standards, guidelines, and updated business rules for written material.
  • Utilize the Correspondence and Task Management System (CATMS) to respond to incoming taskers then task packages forward for signature.
  • Facilitate weekly calls with Front Office counterparts to discuss latest hot topics and issues.
  • Coordinate with subordinate offices to assign, review, and route CATMS packages to the appropriate points of contacts for action.
  • Check CATMS packages for formatting, proofread, and edit as necessary; prepare documents for signature and ensure proper routing through the staff via hard copy and CATMS.
  • Brief senior government officials on status of organizational CATMS packages.
  • Attend and participate in meetings, take meeting notes, record taskers and actions, and update the staff when necessary.
  • Task and coordinate responses for FOIA, DoDIG, GAO, and other requests for government information.
  • Update rosters, calendar invites, and address lists, and schedule new employee meet-and-greets with the team's leadership.
  • Gather forms, assist with training, provide information pertaining to creation requests for network access accounts, ensure equipment is issued, and assist with workspace and laptop set-up.
  • Manage multiple assignments from multiple people in a busy work environment.

Requirements

  • TS/SCI clearance required.
  • 5+ years of experience supporting senior DoD leadership.
  • Bachelor's degree preferred.
  • Excellent written, oral, and interpersonal communication skills.
  • Experience with managing, coordinating, editing, and formatting CATMS packages.
  • Prior experience providing administrative support to senior DoD leadership.
  • Excellent organizational skills, ability to establish and maintain working relationships with internal and external staff members, and the ability to work independently and take a proactive role.
  • Flexibility and ability to prioritize tasks according to senior staff requirements.
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint.
  • A true team player who maintains a positive attitude in a dynamic environment.
  • High energy, enthusiasm, tact, ability to interact effectively with senior executives from Government and industry as well as Pentagon staff members.
  • Ability to create and foster a cooperative work environment.
