About the position

The Executive Assistant to the Commissioner of Agriculture plays a crucial role in providing comprehensive administrative support to the Commissioner and the Colorado Agricultural Commission. This position is responsible for managing the Commissioner's calendar, scheduling meetings, and coordinating logistics for various events, including town halls and agricultural forums. The Executive Assistant will interact with high-level officials, including members of the Governor's office, legislators, and federal officials, ensuring that all communications and scheduling are handled with professionalism and efficiency. The role requires a proactive approach to problem-solving and the ability to manage multiple priorities in a fast-paced environment. In addition to scheduling and administrative duties, the Executive Assistant will be responsible for preparing meeting materials, taking minutes, and ensuring that all necessary documentation is organized and accessible. This includes processing credit card statements, purchase orders, and vendor invoices, as well as tracking personnel actions and contracts that require the Commissioner's signature. The position also involves providing support for special projects and events, which may require travel and the ability to work outside of regular business hours. The Executive Assistant will serve as a key resource for the Commissioner's office and will be expected to maintain excellent relationships with internal and external stakeholders. This includes providing customer service, answering phones, and directing inquiries to the appropriate team members. The role is essential in ensuring that the Commissioner and the Agricultural Commission can effectively fulfill their mission to advance Colorado's agriculture and support the state's farmers and ranchers.

Responsibilities

  • Provide administrative assistance to the Commissioner of Agriculture.
  • Manage the Commissioner's calendar and scheduling priorities.
  • Coordinate logistics for meetings, events, and town halls.
  • Make travel arrangements and accommodations for the Commissioner.
  • Prepare meeting materials and take minutes during meetings.
  • Process credit card statements, purchase orders, and vendor invoices.
  • Track personnel actions and contracts requiring the Commissioner's signature.
  • Support the executive and senior team with meeting preparation and follow-up.
  • Serve as a resource for division directors and their teams.
  • Provide technical support for online and hybrid meetings.

Requirements

  • Five years of high-level executive administrative experience, including event planning and professional communication.
  • Experience with online meeting tools such as Google Meet and Zoom.
  • Strong interpersonal communication skills and project management abilities.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Detail-oriented with a commitment to diversity, equity, and inclusion.
