About the position

The Center Operations Coordinator position at the USO is a vital role that encompasses a wide range of responsibilities aimed at ensuring the smooth operation and maintenance of one or more Centers. This position is designed to deliver valuable, fun, and creative programs, events, and activities for military personnel and their families. The Coordinator will play a key role in creating and maintaining a clean, warm, inviting, and friendly environment for troops, which is essential for fostering a sense of community and support. The role may also involve assisting with volunteer management and social media communications, as well as handling light administrative and cash-handling tasks. In this position, the Coordinator will meet and welcome guests, orienting them to the Center's offerings, amenities, tours, classes, programs, and services. Providing high-quality and friendly customer service is paramount, as the Coordinator will serve as a knowledgeable resource for troops, offering relevant travel advice and resolving complaints. The role also includes assisting with operational procedures such as opening and closing the Center, ensuring compliance with safety and security protocols, and maintaining the cleanliness and readiness of the facilities and equipment. The Coordinator will help plan and execute programs, activities, and events both on and off U.S. military installations, ensuring that there is sufficient volunteer coverage and supplies. They will also be responsible for communicating Center operations and programs to create awareness, which may involve creating promotional materials and managing the Center's social media presence. Additionally, the Coordinator will handle incoming calls, emails, and maintain reports, files, and databases. Training and guiding volunteers may also be part of the role, along with processing cash or credit card sales as needed. The position may require operating a USO or personal motor vehicle and performing other duties as assigned by senior leaders.

Responsibilities

  • Meet and welcome guests, orienting them to the Center and its offerings, amenities, tours, classes, programs, and services.
  • Provide high-quality and friendly customer service, including relevant travel advice and complaint resolution.
  • Assist with operational procedures, including opening and closing the Center, key control, and ensuring safety and security protocol adherence.
  • Monitor and maintain readiness and availability of the Center and its activity and lounge areas, ensuring cleanliness and operability of facilities and equipment.
  • Help plan and execute programs, activities, and events, ensuring sufficient volunteer coverage and supplies.
  • Communicate Center operations and programs to create awareness through flyers, brochures, and local media.
  • Maintain the Center's social media presence and ensure content adheres to USO guidelines.
  • Answer and screen incoming telephone calls and respond to emails.
  • Produce and maintain reports, files, and databases.
  • Guide, train, and act as a resource for volunteers, maintaining their service records.
  • Process cash or credit card sales as needed.
  • Operate a USO or personal motor vehicle as required.

Requirements

  • High school diploma or equivalent.
  • 0-2 years work experience in an administrative, event management, marketing support, retail, customer service, recreation facility or related role.
  • Strong interpersonal, customer service, and problem-solving skills.
  • Ability to interact with USO Leadership, the general public, and military audiences with integrity and professionalism.
  • Punctual, organized, and self-motivated, with the ability to adapt to changing organizational needs.
  • Demonstrated proficiency in written and oral communications.
  • General knowledge of military community preferred.
  • Ability to exercise sound judgment related to controversial and/or culturally sensitive subjects.
  • Ability to handle confidential information with tact and poise.
  • Working knowledge of basic business functions and basic math skills.
  • General knowledge of safe food handling and storage practices.
  • Ability to design and format promotional materials (i.e., brochures, flyers, posters).
  • Proficiency using computers and various software, including Microsoft Office Suite and social media platforms.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations.

Nice-to-haves

  • Relevant experience in a not-for-profit, military, multicultural and/or global organization preferred.
  • Familiarity with Digital Cheetah, desktop publishing software, and gaming programs preferred.
