About the position

The Center Operations Specialist position is a vital role within the USO, responsible for executing the day-to-day operations of one or more USO Centers. This position is focused on providing excellent customer service and maintaining a safe, friendly, and inviting environment for service members and their families. The specialist will manage and deliver high-quality, self-sustaining, and cost-efficient programs, events, and activities in locations surrounding the Center(s). The role is designed to create valuable, engaging, and memorable experiences for military service members and their families, and may also involve guiding and administering volunteers. In this role, the Center Operations Specialist will execute operational procedures to ensure a cost-effective, safe, welcoming, and clean environment. This includes monitoring and maintaining facilities and equipment, enforcing sanitary and food-handling guidelines, and engaging with Center visitors to provide information about amenities, tours, classes, programs, and services. The specialist will also help maintain Center operations within budget, monitor inventory, handle cash, and provide data for financial and operational reports. The position requires the creation and maintenance of a Standard Operating Procedure file detailing local operational procedures and Center activities. The specialist will assist in planning and overseeing operational areas, including programs, logistics, inventory management, and social media communications. They will also deliver and manage the planning and evaluation of new and existing USO programs, activities, and events, ensuring effective coordination of all functions and materials. Additionally, the Center Operations Specialist will develop and maintain working relationships with the U.S. Military, local community leaders, partners, and donors to enhance awareness and support for the USO mission. They will coordinate with colleagues to ensure adequate resources for all programs and oversee volunteer participation, including communication and training for volunteers. The role may require operating a USO or personal motor vehicle and performing other duties as assigned, including backfilling for the Center Operations Manager or other positions as directed by senior leaders.

Responsibilities

  • Execute day-to-day Center operational procedures, ensuring a cost-effective, safe, welcoming and clean environment.
  • Monitor and maintain facilities and equipment to ensure they are well-maintained and ready-to-use.
  • Enforce sanitary and food-handling guidelines and regulations.
  • Engage and interact with Center visitors, serving as a subject matter expert about its amenities, tours, classes, programs and services; troubleshoot to resolve issues.
  • Help maintain Center operations within budget, monitor and maintain inventory, and handle cash.
  • Provide data for financial, operational and statistical reports as requested.
  • Create and maintain a Standard Operating Procedure file detailing local operational procedures and Center activities.
  • Assist in planning and overseeing operational areas including programs, logistics, inventory management, budget, social media and database management.
  • Compile and prepare announcements, stories and photos for social media and local media representatives, ensuring content conforms to USO media guidelines.
  • Deliver or assist in managing the planning and evaluation of new and existing USO programs, activities and events on and off US military installations.
  • Assist in developing, improving and maintaining working relationships with the U.S. Military, local community leaders, partners and donors.
  • Coordinate with Center colleagues to ensure appropriate resources including volunteers, materials, and supplies are available for all programs, events, and activities.
  • Communicate key information to volunteers, including shift openings, policy changes, and development opportunities.
  • Direct prospective volunteers through the application process and help coordinate on-the-job training for volunteers.
  • Implement volunteer recognition events and run reports related to volunteer participation.

Requirements

  • High School Diploma or equivalent.
  • 2+ years work experience in event management, marketing, retail, customer service, recreation facility or related role.
  • Strong interpersonal, customer service and problem-solving skills.
  • Proficiency using computers and electronics equipment, including Microsoft Office Suite.
  • General knowledge of various software, applications, and programs including volunteer management software and social media platforms.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects.
  • Ability to handle confidential information with tact and poise.
  • Demonstrated ability to show initiative, self-motivation, and attention to detail.
  • Ability to manage multiple projects with competing priorities and adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic math and follow proper cash/donation handling and reporting procedures.
  • Willingness and ability to work non-standard hours as needed.
  • General knowledge of military community preferred.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities.

Nice-to-haves

  • Experience in a non-profit, military, multicultural and/or global organization preferred.
  • Experience with Digital Cheetah preferred.
