About The Position

The Scheduling Coordinator plays a crucial role in managing the scheduling of appointments for NCH Cardiologists, Surgeons, and Advanced Practice Providers (APPs). This position involves coordinating patient appointments, ensuring compliance with clinic guidelines, and providing support to enhance patient satisfaction and operational efficiency within the clinic.

Requirements

  • High School diploma required.
  • Associate degree from an accredited university/college preferred.
  • Experience in a medical office, clinic, or hospital business operation is preferred.

Responsibilities

  • Assist with the discharge outtake process from clinic appointments by supplying education and patient summaries as requested.
  • Ensure follow-up appointments are scheduled prior to patient departure.
  • Assist with patient needs in the clinical waiting room, including maintaining coffee supplies and facilitating patient transportation.
  • Handle incoming patient and referring office telephone calls, process electronic referrals, and manage clinical workload requests and voicemails.
  • Perform data entry for scheduling single to multiple appointments using various screens and modules.
  • Schedule appointments, tests, and procedures according to provider and clinic guidelines.
  • Create EMR patient accounts as needed for scheduling appointments.
  • Collect and enter patient demographics into the EMR system.
  • Provide coverage for other scheduling representatives as needed.
  • Contact patients to reschedule appointments.
  • Instruct patients prior to procedures according to approved guidelines.
  • Make referrals to outside physicians as requested and send all pertinent records.
  • Obtain necessary records prior to patient appointments.
  • Notify pre-authorization staff of all add-on procedures and transplant patient appointments.
  • Adhere to compliance requirements and policies, performing responsibilities ethically and in line with NCH/AHH values.
  • Complete special projects as assigned by management.
  • Maintain prompt and regular attendance.
