About the position

The Centralized Scheduling Manager at Texas Hearing Institute is responsible for overseeing the scheduling operations for the Audiology and Speech Therapy departments. This role ensures a seamless scheduling experience for patients and manages the insurance verification and patient intake processes. The position plays a crucial role in optimizing patient flow and operational efficiency while providing leadership and support to the scheduling staff.

Responsibilities

  • Oversee the scheduling of patient appointments for Audiology and Speech Therapy departments
  • Manage new patient intake processes as part of the scheduling process
  • Supervise insurance verification processes
  • Coordinate and manage the daily activities of direct reports
  • Develop and implement efficient scheduling workflows and procedures
  • Monitor and analyze scheduling metrics to optimize patient flow, attendance rates, patient satisfaction and operational efficiency/productivity
  • Develop and communicate scheduling related reports to organizational and departmental leadership
  • Provide training and support to scheduling staff
  • Work with facility and departmental leadership, as well as departmental staff, to meet the scheduling needs of the organization
  • Address and resolve any scheduling conflicts or issues that arise
  • Maintain accurate records of patient appointments and insurance verifications
  • Ensure compliance with all relevant regulations and policies
  • Maintain sufficient understanding of services provided at THI to facilitate effective communication with clients, staff and visitors
  • Other duties as assigned

Requirements

  • Minimum of 3 years of experience in a healthcare scheduling or administrative role
  • Previous experience in a supervisory or managerial position preferred
  • Bilingual in Spanish
  • Excellent organizational and multitasking skills
  • Strong leadership and team management abilities
  • Proficient in using scheduling software and electronic medical records (EMR) systems
  • Excellent communication and interpersonal skills
  • Ability to work independently and make decisions in a fast-paced environment
  • Detail-oriented with strong problem-solving skills
  • Strong computer skills including excel proficiency
