About the position

The Certified Medical Administrative Assistant at DOC-AID Urgent Care plays a crucial role in ensuring the smooth operation of the medical office. This position involves a variety of administrative tasks, including patient scheduling, intake, billing, and communication with both patients and medical staff. The ideal candidate will have experience in a healthcare setting and a strong understanding of medical office procedures and regulations.

Responsibilities

  • Schedule patient appointments, coordinate follow-ups, and manage cancellations or rescheduling requests.
  • Maintain an efficient and organized appointment calendar for providers, ensuring no conflicts and that patients are seen promptly.
  • Greet patients and assist with completing necessary paperwork, including medical history forms and insurance information.
  • Verify and update patient demographics, insurance details, and medical records.
  • Collect co-pays, deductibles, and other patient payments, ensuring proper documentation and receipts.
  • Maintain accurate patient records in compliance with HIPAA guidelines.
  • Ensure that all charts and documents are correctly filed, updated, and readily accessible for providers.
  • Process patient referrals, test results, and correspondence.
  • Verify insurance coverage, eligibility, and patient benefits before their appointments.
  • Assist with preparing and submitting insurance claims and following up on any outstanding balances or denied claims.
  • Work closely with patients and insurance companies to resolve billing issues and inquiries.
  • Answer phone calls and emails promptly and professionally, addressing patient inquiries and directing calls to appropriate personnel.
  • Communicate with medical staff, providers, and patients regarding appointment reminders, test results, and follow-up care.
  • Assist in maintaining office supplies and managing inventory.
  • Assist with office administrative tasks such as filing, faxing, and scanning documents.
  • Help with maintaining the cleanliness and organization of the office environment.
  • Support medical staff with preparation for patient exams and procedures.

Requirements

  • At least 2-3 years of experience as a Medical Administrative Assistant, Medical Office Coordinator, or similar role in a healthcare environment.
  • Prior experience with electronic health records (EHR) systems and medical billing software.
  • Strong knowledge of medical terminology, office procedures, and HIPAA regulations.
  • Exceptional organizational and multitasking skills, with the ability to manage competing priorities.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced environment and handle patient concerns empathetically and professionally.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and healthcare management software.
  • High school diploma or equivalent required; Associate's degree in healthcare administration, medical office management, or related field is preferred.
  • Certified Medical Administrative Assistant, a Biller and/or Coder, or Medical Assistant.
  • Valid CPR Card.
  • Strong attention to detail and ability to maintain confidentiality.
  • Ability to work independently as well as in a team-oriented environment.
