About the position

The Certified Payroll Specialist at Allied Universal® Technology Services is responsible for managing all aspects of union and contract payroll processing. This role ensures the accuracy and timeliness of payroll cycles while maintaining compliance with applicable labor laws and regulations. The specialist will also address employee inquiries related to payroll and work towards resolving any discrepancies, contributing to a culture of innovation and inclusivity within the organization.

Responsibilities

  • Evaluate and submit all Certified Payroll through the Company tracking tool to ensure compliance with labor laws and payroll regulations.
  • Review and report hours for the weekly, bi-weekly, and union payroll cycles for approximately 1,100 employees.
  • Review, process, submit, and log all payroll adjustments, employee direct deposit changes, tax changes, payroll corrections for hourly employees, and new hire set-up in the payroll system.
  • Ensure timely resolution of labor compliance discrepancies to avoid payroll or reporting penalties by verifying prevailing wages, overtime, fringe benefits, and other union compensation calculations.
  • Maintain compliance with wage and hour laws and meet payroll audit standards, preparing and submitting certified payroll reports accurately to government agencies and clients.
  • Review project contracts to confirm Certified Payroll processes meet contractual requirements.
  • Address employee, subcontractors, vendors, project management teams, or project owners inquiries and concerns related to payroll, including pay discrepancies and deductions.
  • Identify and suggest enhancements to streamline payroll procedures, assist in implementing process improvements, and prepare weekly, monthly, quarterly, and ad hoc reports.

Requirements

  • Associate's degree in Accounting, Finance, or related field of study with a minimum of three (3) years of experience in payroll or compensation.
  • High school diploma or equivalent with a minimum of five (5) years of experience in payroll or compensation.
  • In-depth knowledge of California prevailing wage laws, DIR requirements, and federal payroll regulations.
  • Proficient in all Microsoft Office applications, especially Microsoft Excel (including VLOOKUPs, XLOOKUPS, Pivot Tables, etc.).
  • Ability to successfully communicate with all levels of the organization, while functioning as a team player.
  • Proven ability to maintain correspondence, discussions, and materials with strict discretion.
