About the position

The Certified Payroll Specialist at Sebastian Corp is responsible for managing and submitting certified payroll to the Department of Industrial Relations (DIR) and ensuring compliance with labor laws and prevailing wage regulations. This role involves collaboration with subcontractors and project management to address inquiries and maintain accurate payroll records, while also providing backup support for weekly payroll processing. The position requires a strong understanding of payroll principles and the ability to handle confidential information with integrity.

Responsibilities

  • Evaluate and submit all Certified Payroll to the DIR and partnering contractors.
  • Ensure compliance with labor laws and prevailing wage regulations.
  • Correspond with subcontractors and project management to support inquiries or issues with Certified Payroll.
  • Maintain internal record of subcontractor documents.
  • Cross train on prevailing wage weekly payroll and serve as backup when needed.
  • Respond to employee inquiries regarding wages, deductions, and other certified payroll related matters.
  • Maintain knowledge of ongoing changes in tax and deduction laws that apply to the payroll process.
  • Maintain employee confidence and protect payroll operations by keeping information confidential.
  • Ensure prevailing wage schedules are accurate.
  • Responsible for apprentice tracking and reporting.
  • Perform other duties as assigned.

Requirements

  • Knowledge of Generally Accepted Payroll Principles and compliance requirements.
  • 2-5 years of certified payroll administration experience preferred.
  • Industry-specific experience preferred.
  • Proficient in Microsoft Office and data entry.
  • Proficient in Spectrum (Trimble) Payroll System preferred.
  • Ability to perform mathematical computations quickly and accurately.
  • Must be able to type 45 WPM and use a ten key calculator by touch.
  • Effective oral and written communication skills.
  • High degree of accuracy, attention to detail, and confidentiality.
  • Good time management and ability to meet deadlines.
  • Adherence to company CPNI policy.
  • Ability to actively participate in a team environment.
