About the position

The CES Office Admin role in Fife, WA, is a contract position focused on supporting Customs Exam Station operations. The position involves coordinating with various agencies, brokers, and customers to ensure efficient customs processes. The ideal candidate will be detail-oriented, able to multitask, and comfortable in a busy work environment.

Responsibilities

  • Work with US Customs agencies (like USDA, FDA, CPSC) to set up container exams.
  • Communicate with brokers and consignees to gather necessary information for exams.
  • Coordinate with shipping lines and terminals to move containers to exam sites.
  • Arrange for the pickup of containers after exams with trucking companies.
  • Maintain records and tracking information in our computer system.
  • Keep files organized and update them as exams progress.
  • Inform warehouse leads to help coordinate with customs agents.
  • Notify customers of any exam issues and keep them updated.
  • Download and email photos for records and customer communication.
  • Manage the check-in and check-out of containers in the yard.
  • Enter work orders and track customs releases and customer invoices.
  • Ensure all necessary paperwork and payments are collected before containers leave.
  • Handle a high volume of emails and phone communications.
  • Organize document storage and filing.
  • Be flexible with job duties and willing to learn other functions.
  • Provide general customer service, including answering phones and responding to inquiries.
  • Assist with recording truck arrivals at the back gate.
  • Perform other tasks as assigned.

Requirements

  • Strong communication skills for interacting with customers, customs agents, and coworkers.
  • Previous experience in customs brokerage or knowledge of US import processes is a plus.
  • Ability to multitask in a fast-paced environment.
  • Detail-oriented and well-organized.
  • Team player with a positive attitude.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, Access).
  • High school diploma or equivalent; an Associate's degree is preferred.
