About the position

The Chief Administrative Officer (CAO) oversees all activities related to departmental administration for the Departments of Anatomy and Microbiology & Immunology at UCSF. This role includes managing financial, personnel, systems, research, and facilities management while ensuring compliance with university policies. The CAO is responsible for hiring and retaining a skilled staff, managing departmental resources, and establishing reporting mechanisms for faculty. The position also serves as a liaison between departments and external organizations, participating in both immediate and long-term planning to maximize resources.

Responsibilities

  • Oversee departmental administration including financial, personnel, systems, research, and facilities management.
  • Ensure compliance with University policies and procedures.
  • Hire and retain a well-trained, efficient, and customer service-oriented staff.
  • Manage equipment and space assets of the department.
  • Establish and maintain reporting mechanisms for chairs and faculty regarding fiscal and personnel matters.
  • Serve as a liaison between departments, university offices, and extramural organizations.
  • Participate in planning for the department to maximize limited resources.
  • Advise departmental leadership committees and faculty.

Requirements

  • Bachelor's degree in a related area and/or equivalent experience/training.
  • 8+ years of directly related experience.
  • 7+ years of lead/supervisor/manager experience.
  • Thorough knowledge of financial analysis and reporting techniques.
  • Strong ability to evaluate complex issues and identify multiple resolution options.
  • Knowledge of organization-specific and other computer application programs.
  • Ability to establish metrics for department and employee goals.
  • Skills to work collaboratively and act persuasively in sensitive situations.
  • Excellent interpersonal skills to lead, motivate, and influence others.
  • Strong project management skills, including managing capital projects.
