About the position

The Chief Administrative Officer (CAO) is responsible for managing the administrative operations of the Department of Cell and Tissue Biology at UCSF. This role involves overseeing various administrative activities including IT, facilities, student services, contracts and grants, budgetary financial management, and human resources. The CAO plays a crucial role in long and short-term planning, ensuring compliance with university policies, and establishing effective management systems to meet departmental goals. The position requires strong leadership and supervisory skills, as the CAO manages a professional staff and serves as a liaison between the department and other university entities.

Responsibilities

  • Manage the administrative operations of the department, including IT, facilities, student services, contracts and grants, budgetary financial management, and human resources.
  • Oversee a professional staff comprising professionals in various fields.
  • Perform long and short-term planning for departmental functions.
  • Ensure compliance with university and other applicable policies and regulations.
  • Establish and implement effective management systems to meet university and departmental goals.
  • Serve as a liaison between department members, other departments, the Dean's Office, campus offices, and external agencies.
  • Establish and maintain reporting mechanisms for fiscal, personnel, and other critical management areas.

Requirements

  • Bachelor's degree in a related area and/or equivalent experience/training.
  • At least seven years of progressively responsible academic and financial management experience or equivalent combination of education and experience.
  • Experience managing research grants and maintaining compliance with agency and university controls/policies.
  • Proven leadership ability and significant supervisory experience in managing a sizeable group of researchers and administrative personnel.
  • Broad knowledge of budget, account and fund management, and personnel management under labor contracts and personnel policy.
  • Strong verbal and written communication skills; ability to influence and persuade all levels of staff.
  • Skills in organization and customer service to manage multiple priorities effectively.

Nice-to-haves

  • Graduate degree in business or public administration, finance, organizational development, educational administration, or related field.
  • Knowledge of UC and UCSF-wide policies, procedures, and education systems.
