About the position

The Chief Administrative Officer (CAO) for the Climate Institute at UC Merced is responsible for overseeing and coordinating daily administrative operations. This role involves managing business functions, ensuring compliance with policies, and providing support in budget and personnel management. The CAO plays a critical role in maintaining accountability and stewardship of campus resources while applying advanced analytical skills to manage sensitive information.

Responsibilities

  • Manage all business and administrative support functions including procurement, travel, recharge administration, inventory, space management, website design, and event coordination.
  • Interpret and apply UC and campus-wide policies and procedures.
  • Approve divisional procurement and travel activity.
  • Monitor departmental accounts, administer fiscal controls, and ensure timely reporting.
  • Generate, modify, and disseminate financial reports for a multi-million dollar budget.
  • Prepare detailed monthly budget and financial reports, showing appropriations, expenses, and spending trends.
  • Coordinate personnel management for new academic and staff hires, terminations, and other actions.
  • Maintain accurate employee records and review payroll data monthly.

Requirements

  • High school diploma or equivalent certification/experience/training (Required).
  • Bachelor's degree in Business Administration, Business Management, Finance, Accounting, or a related area (Preferred).
  • Five years of administrative/clerical work experience (Required).
  • Advanced knowledge of campus policies, practices, and systems in personnel management, finance, and operations management (Preferred).
  • Ability to identify, collect, and analyze information for financial reporting (Required).
  • Strong skills in short-term planning, analysis, problem-solving, and customer service (Required).

Nice-to-haves

  • Thorough knowledge of University rules and regulations for budget, accounting, and personnel management (Preferred).
  • Interpersonal skills including verbal and written communication, active listening, and critical thinking (Preferred).
  • Solid knowledge of common University-specific computer application programs (Preferred).
