About the position

The Chief Administrative Officer (CAO) for the Cardiovascular Research Institute (CVRI) serves as the chief operating officer and oversees all aspects of administrative and financial functions. This includes financial management, human resources, research administration, space planning, administrative support, IT, website management, facilities, equipment management, and the day-to-day operations of the institute. The CAO plays a crucial role in ensuring that the institute operates efficiently and effectively, maximizing the utilization of resources and maintaining administrative excellence across all functions. Reporting directly to the CVRI Director and indirectly to the School of Medicine Vice Dean of Administration and Finance, the CAO collaborates with investigators from various academic departments and provides oversight and administrative support for the Center for Tobacco Control Research and Education and the Adult Pulmonary Function Lab. The CAO is also responsible for managing the Smith Cardiovascular Research Building, which houses 48 laboratories and a cardiology outpatient clinic. In this role, the CAO functions as a strategic planning partner alongside the Director, providing skillful administrative, operational, and financial management at all sites. The successful management of collaborative agreements requires strong negotiation and problem-solving skills, as well as the ability to achieve consensus with faculty and administrators outside the Institute. The CAO must navigate complex administrative changes while fostering key partnerships that are essential for the institute's success.

Responsibilities

  • Oversee all administrative and financial functions of the Cardiovascular Research Institute (CVRI).
  • Manage financial management, human resources, research administration, space planning, and IT operations.
  • Provide administrative support for the Center for Tobacco Control Research and Education and the Adult Pulmonary Function Lab.
  • Collaborate with the CVRI Director on strategic planning and operational management.
  • Maximize utilization of institute resources and maintain administrative excellence.
  • Negotiate and manage collaborative agreements with external faculty and administrators.
  • Oversee the management of the Smith Cardiovascular Research Building.

Requirements

  • Bachelor's degree in a related field and/or equivalent experience/training.
  • 8+ years of progressively responsible academic and financial management experience.
  • 7+ years of lead/supervisor/manager experience with excellent leadership abilities.
  • Advanced knowledge of financial analysis, reporting techniques, and human resources management.
  • Excellent skills in conflict management and establishing customer service standards.
  • Strong project management skills, including managing capital projects.
  • Advanced knowledge of administrative management theory and its practical application.
  • Ability to evaluate complex issues and identify multiple options for resolution.

Nice-to-haves

  • Familiarity with UC and UCSF system-wide policies and procedures.
  • Knowledge of policies and programmatic guidelines for ACGME training programs.
