About the position

The Chief Deputy Clerk/Operations Manager, under the direction of the Clerk of the Court, is responsible for overseeing the daily operations and administration of the Clerk's Office, acting as the second-in-command to the Clerk of the Court. This role is essential in assisting the Clerk in managing the business of the Court, which encompasses case management, case processing, statistical reporting, and the custody of official court records. The Chief Deputy Clerk will handle inquiries related to court policies, procedures, and cases, while also managing the fiscal, clerical, and administrative functions of the Clerk's Office. In this position, the Chief Deputy Clerk will supervise and manage both non-attorney and attorney staff, which includes responsibilities such as assisting with the selection, training, assignment, and evaluation of work. The role also involves preparing employee performance evaluations and reviewing and approving timesheets and leave requests. Ensuring compliance with court practices, procedures, laws, and appellate rules is a critical aspect of this position, as is responding to inquiries from judges, attorneys, other courts, and self-represented litigants regarding court practices and cases. The Chief Deputy Clerk will retrieve and verify data from the automated case management system to generate internal management, financial, and statistical reports, ensuring the accuracy of dispositional data and posting case status changes as required. Periodic reviews of all active cases will be conducted to monitor progress and ensure compliance with court practices and procedures. The Chief Deputy Clerk will also interact with State Courts System Information Technology staff, Supreme Court personnel, and other judicial entities to assist in the operation and functionality of the Court's electronic case management, workflow, quality control, and records management systems. In the absence of the Clerk of the Court, the Chief Deputy Clerk will perform their duties and undertake other responsibilities as assigned.

Responsibilities

  • Assist the Clerk of the Court in managing case management and case processing.
  • Handle inquiries regarding court policies, procedures, and cases.
  • Supervise and manage non-attorney and attorney staff, including training and performance evaluations.
  • Ensure compliance with court practices, procedures, laws, and appellate rules.
  • Respond to inquiries from judges, attorneys, and self-represented litigants.
  • Retrieve and verify data from the automated case management system for reporting.
  • Review active cases to monitor progress and compliance with court procedures.
  • Interact with State Courts System IT staff and other judicial entities.
  • Assist in the operation of the Court's electronic case management and records management systems.
  • Perform duties of the Clerk of the Court in their absence.

Requirements

  • Bachelor's degree in business administration, legal studies, or a closely related field.
  • Six years of related experience, including two years in a supervisory or managerial capacity.
  • Extensive knowledge of operations of the Clerk's Office and the State Courts System.
  • Experience and proficiency in Microsoft Windows, Microsoft Office, Adobe Acrobat, and Court Case Management Systems.
