About the position

The Chief Executive Assistant / Chief of Staff role involves providing comprehensive administrative support to a C-level executive, ensuring efficient operation of the executive's business segment. This hybrid position requires exceptional organizational skills, attention to detail, and the ability to manage relationships effectively. The role serves as a liaison between the executive and various stakeholders, facilitating communication and coordination of activities.

Responsibilities

  • Provide direct administrative support to executives at a senior level to enable the executive's achievement of duties and ensure the executive's assigned function or business segment operates efficiently and smoothly
  • Serve as first point of contact between function or business segment and external entities, prioritize inquiries and ensure information is disseminated to appropriate staff members for resolution or response
  • Draft communications to a variety of audiences on behalf of the executive via various communication formats
  • Work closely with executive to understand scheduling and issue priorities and ensure maximization of executive's schedule and time
  • Make all travel arrangements, including completion of travel preauthorization form, travel expense claims, and reconciliation for all members of the executives organization
  • Coordinate and schedule meetings, coordinating meeting logistics and any staff support

Requirements

  • 8+ years' experience in an administrative support function supporting VP level or above
  • Very high proficiency in Microsoft Office Suite including PowerPoint, Word, Excel, Outlook, and Teams
  • High level of interpersonal skills and professionalism to be able to interact with all levels of executives, both internally and externally, as well as Board members
  • Ability to interpret and administer policies and procedures sufficient to administer, discuss, resolve and explain them to others
