About The Position

The Scheduler Representative II is responsible for accurately scheduling complex diagnostic and surgical procedures, conducting interviews with physicians and patients, and explaining hospital guidelines and policies. This role involves coordinating with clinical departments for schedule modifications and ensuring a high level of customer service throughout the scheduling process.

Requirements

  • High School Diploma or equivalent.
  • 2-5 years of administrative experience in a medical facility, health insurance, or related area.
  • 3+ years in Patient Access/Scheduling preferred.
  • Some college coursework is preferred.
  • Minimum typing skills of 35 wpm.
  • Demonstrated working knowledge of software/system/equipment.
  • Knowledge of function and relationships within a hospital environment preferred.
  • Advanced customer service skills and experience.
  • Ability to work in a call center environment.
  • Ability to receive and express detailed information through oral and written communications.
  • Course in Medical Terminology required.
  • Advanced understanding in surgery procedure scheduling preferred.
  • High achievement in productivity.

Nice To Haves

  • Experience in a hospital administration environment.
  • Experience in resolving physician's office and patient issues.

Responsibilities

  • Obtain complete and accurate clinical, demographic, and financial information during the scheduling process.
  • Enter data in scheduling system or other applications.
  • Provide customers with preparation and appointment instructions.
  • Schedule complex procedures following established guidelines.
  • Coordinate communications with clinical areas for special requests and schedule modifications.
  • Answer telephone calls according to designated scripting for the scheduling process.
  • Maintain positive customer service and refer unresolved issues to the appropriate supervisor.
  • Notify customers of physician orders, pre-authorization, and financial clearance requirements.
  • Perform functions of other Patient Access/Scheduling roles when requested.
