About the position

The Chief of Staff / Estate Manager will oversee both high-level business tasks and estate management responsibilities for two entrepreneurs based in Downers Grove, Illinois. This role involves implementing and refining policies and procedures, evaluating staff performance, and identifying areas for improvement, while demonstrating a strong work ethic and adaptability in a fast-paced environment.

Responsibilities

  • Oversee daily operations and maintenance of multiple properties.
  • Hire, train, and oversee household staff, ensuring they meet the highest standards of performance.
  • Develop and implement new policies and procedures to improve efficiency and quality of work.
  • Manage relationships with vendors and contractors, negotiating contracts and overseeing project quality and budgets.
  • Approve bills, coordinate payments, manage budgets, and review financial reports for accuracy.
  • Plan and coordinate private events and family gatherings, managing all logistics and vendor coordination.
  • Arrange and manage travel logistics for the principal and family, ensuring residences are prepared for arrivals and departures.
  • Provide personal support to the principal and family, handling confidential matters with discretion.

Requirements

  • 7+ years of similar experience
  • Flexibility to travel frequently to other properties
  • Proficient in Microsoft Office 365, Outlook, Word, Excel, and DocuSign
  • Proven success in managing complex calendars and international travel logistics
  • Exceptional communication, time management, and organizational skills
