About the position

As the Chief of Staff at GXO Logistics, you will play a pivotal role in supporting the AMAPAC President in various operational and strategic initiatives. This position is designed for a highly organized and proactive individual who can manage multiple responsibilities while ensuring the smooth execution of the President's agenda. You will be responsible for overseeing overall operational activities on behalf of the President, which includes tracking and orchestrating performance management processes to ensure effective business execution. Your role will also involve managing escalations, aggregating information, and driving strategic projects that provide relevant insights to support decision-making processes. In this capacity, you will build immaculate reports, briefings, and presentations, establishing high standards for the information shared with the President. You will coordinate and facilitate both internal and external communications on behalf of the President, linking the leadership team with the broader organization. Your ability to make routine operational decisions within your scope of authority will be crucial in maintaining efficiency and productivity. You will also be tasked with driving Regional Priority Plans, ensuring that workstream leaders and projects are properly synchronized, and that deliverables are tracked effectively. By organizing executive procedures, you will help optimize the efficiency of the President's office. Your insights will support the decision-making process, as you will set and monitor key performance indicators to measure and improve team performance. Additionally, you will work behind the scenes to identify solutions to problems and address issues proactively before they escalate to the President. Your role will require you to create timely and accurate briefings on various topics of interest, integrating information from multiple sources to develop actionable intelligence and recommendations that align with executive business requirements. You will also serve as a thought partner and strategic advisor to the President, participating in meetings, challenging ideas, and ensuring that action items are followed up on effectively. Consulting with other leadership team members will be essential to ensure overall efficiency and productivity within the organization.

Responsibilities

  • Build immaculate reports, briefings and presentations and establish standards for President presentations to ensure effective, high-quality information sharing and decision making
  • Coordinate, prepare and facilitate internal and external communication on behalf of President, linking the leadership team and the broader organization
  • Make routine operational decisions within scope of authority
  • Track and orchestrate performance management processes to ensure business execution
  • Drive Regional Priority Plans, ensuring workstream leaders and projects are properly synchronized, deliverables tracked, and escalations are provided to aid decision making
  • Organize Executive procedures to ensure optimal efficiency and productivity
  • Support decision making process by providing insights with wide ranging view
  • Set and/or monitor Executive key performance indicators to measure and improve team performance
  • Work behind the scenes to find solutions to problems and deal with issues before they are brought to the President
  • Create timely and accurate briefings on various topics of interest for the President
  • Integrate information from multiple sources to develop actionable intelligence and recommendations in support of Executive business requirements
  • Work across the company to facilitate relevant benchmarking and industry relevant information
  • Serve as a thought partner and strategic advisor to President, standing in on meetings, challenging ideas, offering a different perspective, and following up on action items with the team accordingly
  • Consult with other leadership team members and serve as a sounding board to them to ensure efficiency and productivity
  • Provide analysis, recommendations, and insights to support strategic initiatives.

Requirements

  • Proven experience in a similar role or as a senior executive assistant
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Proficiency in creating high-quality reports and presentations
  • Strong analytical and problem-solving abilities
  • Experience in performance management processes
  • Ability to manage escalations and drive strategic projects

Nice-to-haves

  • Experience in logistics or supply chain management
