About the position

The Chief of Staff will oversee all household operations for an ultra-high-net-worth (UHNW) family in Houston, TX. This role involves creating and implementing systems for efficient family office operations, managing staff, and serving as the primary liaison between family members and household staff. The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills, with a focus on building a cohesive team and ensuring the smooth functioning of the family office.

Responsibilities

  • Identify and implement the proper systems and structures for efficient family office operations.
  • Leverage technology for efficient management of the office and ensure staff proficiency in relevant software.
  • Build and maintain strong relationships with family members, understanding their individual needs and goals.
  • Recruit top-tier individuals for the family office, assessing both technical skills and cultural fit.
  • Create sustainability and continuity of family office systems and processes.
  • Ensure quality control of information and communication to reduce reactivity.
  • Facilitate regular team meetings and technology training for staff.
  • Integrate smart home technology systems for property management.
  • Leverage project management tools to coordinate family activities and office tasks.
  • Coordinate travel arrangements, events, and lifestyle management.
  • Conduct regular technology audits to identify areas for improvement.
  • Implement a succession plan for critical roles to ensure continuity.
  • Ensure strategic alignment and coordination of priorities and goals.
  • Serve as the central point of contact between principals and stakeholders.
  • Maintain a collaborative and cohesive team environment.
  • Partner with staff to ensure timely and accurate completion of responsibilities.
  • Liaise with family attorneys and financial advisors for alignment with external partners.
  • Attend meetings and events on behalf of the principals, ensuring timely follow-up on action items.
  • Create a positive work environment to enhance job satisfaction and loyalty among staff.
  • Provide relevant information to principals prior to events and post-meeting summaries.
  • Execute projects by translating them into actionable steps and managing completion.
  • Track performance, research new solutions, and escalate issues when necessary.

Requirements

  • At least 8 years of professional experience in a similar role within a family office environment.
  • Bachelor's degree required; Master's or other advanced degree preferred.
  • Legal to work in the US.
  • Valid driver's license and clean driving record.
