About the position

Ingenio is seeking a Chief of Staff to join our team, operating as the ‘right hand' to the CEO. This role is pivotal in developing, organizing, and directing all planning and strategy activities across the 12-person management team. The Chief of Staff will serve as a thought partner and lead special projects for the organization, ensuring that the CEO's vision is effectively communicated and executed throughout the company. The position requires a proactive approach to refining processes and creating efficiencies that drive change within the organization. The Chief of Staff will also be responsible for managing the quarterly objectives and key reporting processes, facilitating key global projects, and ensuring high-quality execution through collaboration and communication with stakeholders. In this role, you will be expected to create and maintain relationships across the business to enable leadership success, identify necessary points of interaction and knowledge sharing between different departments, and proactively seek opportunities to add value to the organization. You will act as the eyes, ears, and voice of the CEO when she is not present, taking charge of planning executive team offsites and major meetings to ensure alignment with current and future business needs. Additionally, you will be responsible for creating or managing the creation of key presentations, such as board decks and all-hands decks, which are crucial for company touchpoints. The Chief of Staff will nurture a culture of humility, ownership, and challenging limiting beliefs across our multinational organization, providing structure and focus for broad, ambiguous ideas that the executive team is exploring, and bringing forth timely recommendations for action.

Responsibilities

  • Support the long-term strategic planning process and organize and administer the annual planning process.
  • Act as a steward of the rhythm of the global business and continually seek to refine processes and create efficiency in a proactive way that drives change.
  • Manage the quarterly objectives & key reporting processes.
  • Manage and facilitate key global projects, collaborating on definition, organizing and communicating to stakeholders, monitoring progress, and creating milestones to ensure high-quality execution.
  • Communicate and create transparency around actions, deliverables, and projects at the executive team level, driving accountability within the broader group.
  • Create and maintain relationships across the business to enable leadership success.
  • Identify necessary points of interaction and knowledge sharing between different departments and teams.
  • Proactively identify opportunities to add value to the organization.
  • Be the eyes, ears, and voice of the CEO when she is not able to be present.
  • Take point on planning of executive team offsites and major meetings to ensure agendas and activities align with current and future business needs.
  • Create or manage the creation of key presentations, including board decks, all-hands decks, and other important company touchpoints.

Requirements

  • 5+ years of pre-MBA management consulting, investment banking, business operations, or strategy experience.
  • 2+ years of managerial experience leading direct reports.
  • Experience in organizations with $250M+ in revenue, ideally in global organizations with multiple business units.
  • Experience interfacing with and presenting to C-level executives.
  • Ability to work with a diverse range of stakeholders across various functional disciplines to understand their respective challenges and motivations.
  • The gravitas and emotional intelligence to influence leaders.
  • Proven ability to ‘manage ahead’ and balance multiple tasks simultaneously.
  • Confidence and communication skills to work with both executive team members and more junior team members.
  • Ability to prioritize across different needs and manage up or down when required.
  • Natural bias toward action and getting the job done.
  • Scrappy and resourceful, able to identify and overcome barriers to execution.
  • Major self-starter that feels comfortable presenting to an executive suite.
  • Highly organized and productive, especially under high-pressure, time-sensitive scenarios.
  • Detail-oriented and enjoy distilling high-level ideas into tactical steps.
  • Advanced Excel skills and ability to maintain complex spreadsheets.
