About the position

Guidehouse is seeking a Chief of Staff to support a federal client in McLean, Virginia. This role is pivotal in overseeing federal contracting activities related to professional services, software, hardware, and other IT peripheral equipment. The Chief of Staff will primarily focus on project management, acquisition development activities, and serve as a trusted advisor and executive assistant to the federal client. The position is hybrid, requiring two days a week on-site at the client's office in Washington, DC. The Chief of Staff will be responsible for drafting acquisition documents, researching historical acquisition actions, and crafting communications for both internal and external stakeholders. This includes facilitating data calls, drafting summaries for customer IT software use cases, and conducting outreach with vendors and reseller partners. The role also involves managing the client's division budget, submitting and monitoring invoice approvals, and developing PowerPoint presentations. Additionally, the Chief of Staff will facilitate meetings with the Guidehouse Project Team and interact with original equipment manufacturers (OEMs) and their resellers, as well as other federal contractor teams. Successful candidates will have experience in project/program management, stakeholder communication, and meeting facilitation. They must possess strong attention to detail, the ability to manage multiple and competing priorities, and effective communication skills in English, both verbally and in writing. A flexible and agile attitude is essential, as the Chief of Staff will need to provide support at any time to ensure the forward movement of the client's priorities and the Guidehouse Project Team's delivery schedule.

Responsibilities

  • Address ad-hoc requests from the client's contracting officer representatives (CORs)
  • Process software license requests
  • Prepare and send out summary notes of meetings
  • Attend meetings with the client's CORs to take notes and provide input

Requirements

  • An ACTIVE and CURRENT SECRET federal security clearance
  • One (1) or more years' experience supporting a multi-disciplinary team
  • Experience in project/program management
  • Strong attention to detail
  • Ability to manage multiple and competing priorities
  • Effective communication skills in English (verbally and in writing)
  • Flexible and agile attitude with a willingness to provide support at any time

Nice-to-haves

  • Knowledge of the State Department organization or prior history with State Department projects
  • Knowledge of public budgeting and/or experience in supporting Federal Government budgeting activities
  • Experience or familiarity with IT products (such as virtualized machines, cloud/on-premise environments, cloud-based platforms, or IT hardware) and professional services
  • Familiarity with key documents that comprise federal acquisition packages
  • Demonstrated analytical and problem-solving skills
  • Experience managing and prioritizing multiple assignments with strict deadlines
  • Highly comfortable and well-versed in using Microsoft O365 platform and assorted web-based applications
