Legal Scale is a remote-first law firm that provides expert legal counsel on financial transactions for innovators, investors, and private credit funds. Our team of eight experienced attorneys and two paralegals provides the expertise of a large firm with the responsiveness and efficiency of a boutique practice. We are committed to delivering solutions that meet the evolving needs of our clients in today's complex and dynamic business landscape. Legal Scale seeks a Chief of Staff who will be a strategic partner to the Managing Partners, ensuring that Legal Scale operates effectively and efficiently. This role will drive the firm's strategic initiatives and manage day-to-day operations, overseeing billing, staffing, IT, organizational effectiveness, marketing, and business development. The ideal candidate will possess operational expertise, leadership skills, and the ability to manage a variety of workstreams in a scaling law firm. The Chief of Staff will be responsible for financial management and billing, staffing and human resources, technology and IT management, organizational effectiveness, and marketing and business development. This includes managing accounts receivable processes, overseeing staffing and resource allocation, partnering with IT consultants, leading change management initiatives, and developing marketing strategies to enhance brand visibility and attract new clients.

Responsibilities

  • Manage and optimize the firm's accounts receivable processes in collaboration with the paralegal team.
  • Execute follow up on past due client invoices and ensure the Managing Partners are aware of delinquent accounts.
  • Manage the calculation and payout of the team lead bonus program for attorneys.
  • Collaborate with Managing Partners and the firm accountant on budgeting and forecasting.
  • Oversee the firm's staffing and resource allocation charts to meet client demands and business objectives.
  • Drive talent acquisition, development, and retention efforts with the firm's HR consultant.
  • Foster a positive and inclusive remote work culture through ongoing programming that supports high performance and employee engagement.
  • Partner with the IT consultant to ensure the firm's technology infrastructure is reliable, secure, and scalable.
  • Collaborate with the IT consultant to execute the technology onboarding and offboarding processes for employees.
  • Lead initiatives to implement technology solutions that improve operational efficiency and client service.
  • Lead change management initiatives and process improvements that enhance collaboration and communication in a remote-first work environment.
  • Collaborate with the Managing Partners to ensure the firm is well-positioned to respond to industry trends and market conditions.
  • Manage special projects and initiatives as assigned by the Managing Partners.
  • Develop and execute the firm's marketing strategy with the Managing Partners to enhance brand visibility and attract new clients.
  • Support business development efforts, including client relationship management and strategic partnerships.
  • Liaise with the firm's website development to maintain and update the firm website.
  • Drive the creation of marketing content and materials including regular LinkedIn posts for the firm.
  • Identify conferences and other relevant BD activities and coordinate staff travel.

Requirements

  • Bachelor's degree in Business Administration, Finance, Law, or a related field; MBA or advanced degree preferred.
  • Minimum of 7 years of progressive operations experience, preferably within a legal or professional services firm.
  • Proven ability to manage multiple initiatives and drive organizational change.
  • Exceptional communication, negotiation, and interpersonal skills.
  • Strategic mindset with demonstrated ability to drive business growth and operational excellence.
  • Adaptability and capacity to thrive in a dynamic, fast-paced, remote work environment.
  • Tech-savvy with a strong interest in leveraging digital tools to enhance collaboration, effectiveness, and efficiency in a remote work environment.
